Project Coordinator

Shift timings - 7PM to 4am or 6pm to 3am .

We are seeking a highly organized and proactive Project Coordinator to join our team. The ideal candidate will play a key role in ensuring that projects are executed smoothly, on time, and within budget while maintaining clear communication between all involved parties. You will coordinate with various teams, including Sales, Production, Management, and Clients, ensuring seamless execution of all project-related activities.

Key Responsibilities:

• Coordinate with Sales Teams: Collaborate with sales teams to ensure all client requirements are accurately documented and communicated to the relevant departments.
• Update CRM Systems: Maintain and update Hubspot CRM with accurate project details, progress, and client communications to ensure all stakeholders have real-time access to project status.
• Project Tracking: Monitor the progress of projects, ensuring deadlines are met and projects remain within budget. Identify and address any potential delays or issues proactively.
• Cross-functional Coordination: Serve as the primary point of contact between clients, production teams, management, and sales teams. Facilitate clear communication and ensure everyone is aligned on project goals and timelines.
• Client Liaison: Communicate regularly with clients to provide updates, gather feedback, and resolve any issues. Ensure that client expectations are met and exceeded.
• Problem-Solving: Address and resolve any challenges or roadblocks that may arise during the course of the project, ensuring minimal disruption to the overall timeline.
• Documentation & Reporting: Prepare and maintain project documentation, including status reports, project timelines, and budget tracking.
• Quality Assurance: Ensure that all deliverables meet the required quality standards before being shared with clients.
• Work with USA-Based Clients: Experience working with USA-based clients is essential, including understanding their business needs, communication styles, and expectations.

Key Qualifications:

• Proven experience as a Project Coordinator or similar role, ideally within a client-facing environment.
• Excellent communication skills, both written and verbal, with the ability to work effectively with cross-functional teams and clients.
• Familiarity with CRM systems and project management tools (e.g., Hubspot, Trello, Asana, or equivalent).
• Strong organizational skills and attention to detail.
• Ability to multitask and manage multiple projects simultaneously.
• Experience working with USA businesses and clients is a significant advantage.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to work independently and as part of a collaborative team.
• Strong problem-solving skills and a proactive approach to project management.
