Job Summary:

We are seeking a dynamic Guest Relationship, Branch HR & Admin Executive to manage and support front office operations, administrative tasks, HR coordination, and overall office management. This role requires a female candidate with strong interpersonal, organizational, and communication skills. The role involves overseeing office functions, vendor management, event coordination, and ensuring smooth HR operations for the branch.

Key Responsibilities:

  • Front Office Operations: Manage front office duties including answering phone calls, operating the EPABX system, and greeting guests.
  • Supervision & Maintenance: Supervise routine housekeeping, security, and courier services to maintain a clean and secure work environment.
  • Office Equipment Management: Oversee the upkeep of office equipment, ensuring they are in good working condition.
  • Cafeteria Management: Oversee cafeteria operations, including vendor selection, ensuring quality control, and timely delivery of lunch and snacks.
  • Office Stationery Coordination: Liaise with the head office for vendor selection, procurement of office stationery, and stock management.
  • Travel & Hotel Arrangements: Handle local taxi, hotel, and travel arrangements for the Branch Manager (BM) and staff. Coordinate bookings and share feedback with the head office.
  • Vendor Management: Support the vendor selection process, manage contract renewals, and ensure timely payments related to administrative services.
  • Invoice Processing: Verify and process vendor bills/invoices for HR & Admin vendors in line with valid contracts/agreements.
  • Time Office Management: Maintain and update attendance records for all department staff and office employees. Share attendance data with the head office as required.
  • Interview Coordination: Organize and coordinate interviews for permanent and outsourced staff, ensuring smooth processes.
  • Event Management: Plan and manage events such as Dealer Meets, Promotor Days, Branch Meets, and Family Days to promote engagement.
  • Reimbursement Management: Collate and verify reimbursement claims, ensuring compliance with company policies, and obtain necessary approvals.
  • Training Coordination (HR & Product): Organize rooms and coordinate training materials, track attendance, and collect feedback for reporting.
  • Notice Board Management: Keep the notice board updated with important information like statutory compliance, birthdays, EOM (End of Month) updates, and other relevant notices.

  • Customer Service Excellence: Strong customer service skills with the ability to handle internal and external inquiries effectively.

  • Computer Skills: Decent proficiency in using computers and MS Office applications (Excel, Word, PowerPoint).
  • Negotiation & Decision-Making: Strong negotiation skills for vendor management and decision-making to handle day-to-day operations smoothly.
  • Problem-Solving: Ability to resolve issues promptly and efficiently with a solution-oriented approach.
