Job title : Coordinator Procurement Systems MIS
Department: HR, OD Operations
Reporting: to Sr. Manager Procurement
Location : New Delhi
Duration : 1 Year (Extendable)
Grade: C
Level of Contact with Children: 2 (Sporadic contact with Children)
The position holder shall be responsible to adhere work within the ambit of Plan India s Safeguarding Gender Equality Policies.
ABOUT PLAN INDIA

Since 1996, Plan India has improved the lives of millions of children and young people by enabling them to access and benefit from the safety nets and schemes of the government for child protection, quality education and healthcare services, healthy environment, livelihood opportunities and participation in community development.
Plan India initiated its programs in India in 1979. It began its services in need-based and welfare approach only with sponsored children and their families till 1994. Between 1995 to 2003, Plan India began the Integrated Community Development approach to benefit many children beyond the sponsored children. During this period, the programs were designed for individual and community development. In 1996, Plan India was registered as a National Organization. It has engaged in a big way in the humanitarian sector by responding to the Asian Tsunami in 2005-2006 and released its first report on State of the Girl Child in India . From 2005, the Child Centred Community Development approach was practiced by Plan India which put children at the centre of all our actions and decision-making processes. This has since continued with Plan India incorporating a gender transformative approach to all its programs.
Job Summary
This position requires a detail-oriented individual with strong analytical skills, a solid understanding of procurement systems, and the ability to collaborate with various stakeholders to enhance operational efficiency. This role involves a thorough understanding of procurement workflows, including requisitioning, purchase order creation, and vendor management, ensuring that all activities align with organizational policies and compliance standards.
Procurement Systems MIS coordinator will play a key role in managing, coordinating, and overseeing the Procurement Finance MIS and Procurement Systems like SAP, REKOCHAIN etc.. The role focuses on ensuring implementation, data accuracy, reporting, system efficiency, and fostering strong relationships with key stakeholders using these systems This position requires strong analytical, organizational, and interpersonal skills.
Key Responsibilities
    Procurement Systems
    1. Create, block, and unblock Vendor and Employee masters to maintain an accurate and up-to-date database of suppliers and internal stakeholders in the ERP (SAP) and procurement systems.
    2. Provide training and support to team members on the use of these platforms, ensuring that all users are proficient and compliant with system protocols.
    3. Develop user manuals and training materials to enhance user understanding of procurement data management systems.
    4. Develop and maintain comprehensive MIS reports and dashboards utilizing SAP and other procurement tools that provide insights into procurement activities, spending patterns and variations across regions, vendor performance, and financial metrics to support data-driven decision-making.
    5. Assist in the preparation of documentation and reports required for internal and external audits related to procurement systems and activities.
    6. Assist in organising all procurement records, including contracts, purchase orders, and vendor agreements, to ensure they are meeting the organisation policy requirements and are readily accessible for audit purposes.
    7. Implementation governance of digital platforms like SAP, REKOCHAIN, etc.
    8. Provide able support in key activities like Purchase order/Agreement creation.
    Process Improvement Compliance
    1. Identify opportunities to streamline data management and vendor processes for increased efficiency.
    2. Ensure compliance with organizational policies, regulatory requirements, and industry standards for data management and vendor relations.
    3. Conduct periodic reviews and audits of vendor agreements and performance metrics.
    Qualifications
    Bachelor s degree in any discipline
    Preferred Skills
    Min. 1 year of experience in Procurement function, MIS management data analysis
    Proficiency in tools like MS EXCEL, Power Point, etc.
    Strong organizational, analytical, and problem-solving skills.
    Excellent written and verbal communication skills.
    Personal Attributes
    Detail-oriented and proactive in identifying and solving issues.
    Strong interpersonal skills with the ability to work collaboratively with both internal teams and external vendors.
    Adaptable to evolving business needs and comfortable working in a fast-paced environment.
