What is your mission?
• Manage complex calendars, arrange for meetings, appointments and travel
arrangements for Director
• Work closely with the Director to keep them well informed of upcoming commitments
and responsibilities, following up appropriately
• Writing letters & e-mails as per instruction of Director.
• Setting Reminders on daily basis for all meetings sort, and distribute directors mail.
Answer directors calls, review voicemails, and prepare message notes. Review and
draft director’s written correspondence. Maintain confidentiality of all personnel, board
of directors, donor and additional leadership matters..
• Greet director’s visitors and ensure meeting rooms and video and voice
communications are prepped.
• Maintain records of director speaking engagements and participation in conferences
and external events.
• Maintain all governing and board policy documents including handbook.
• To provide full administrative support, including typing, photocopying and preparation
of documentation using Microsoft Word, Excel..
• Arrange complex and detailed travel plans, travel documents, and itineraries. Research
and present airline, hotel, and other travel options. Maintain and organize paper and
electronic receipts. Complete travel expense reports for the Director.
• Regularly review scheduled meetings, re-evaluate priorities, and modify previous
scheduled appointments Update multiple calendars on multiple systems. Consistently
monitor email and other communications to ensure that all scheduling is coordinated,
logistics confirmed, and appropriate informed.
• Ensure the Director’s schedule is followed and respected. Provide calendar reporting
• Coordination & Follow-ups with senior management, different departments & several
other contact.
• Ensuring Accounting Department requests are resolved and communicated in a timely
manner to internal and external parties.

Who are we looking for?
• Four or more years of experience in an Executive administrative role
Reporting directly to upper management
• Expert proficiency with Microsoft Office and desktop publishing software; ability to
design and edit graphic presentations and materials and preparing Excel reports.
• Strong verbal and written communication skills.
• High degree of professionalism in dealing with diverse groups of people, including
Board members, senior executives, staff, community leaders, donors, and funded
partners
• Ability to complete a high volume of tasks and projects.
• Strong time-management skills and an ability to organize and coordinate multiple
concurrent projects
• Flexible team player, willing to adapt to changes and unafraid of challenges
• Ability to maintain confidentiality of information related to the company and its
employees
• proficiency with office productivity tools and an aptitude for learning new software and
systems
