Job Description

We are seeking a highly organized and energetic Executive Assistant to join our team in Hyderabad. The ideal candidate will possess excellent interpersonal skills, a proactive attitude, and an extraordinary ability to multitask. With strong organizational planning skills and a high level of professional work ethics and integrity, you will manage the day-to-day tasks of the Director/CEO, ensuring smooth operations.   • Manage day-to-day office tasks for the Director/CEO, ensuring smooth operations.
  • Maintain and organize accurate calendars, prioritizing important deliverables and appointments.
  • Participate in highly confidential meetings, providing accurate records, transcribing, and distributing minutes.
  • Draft high-level presentations, communications, and documents using Microsoft Word, Excel, and PowerPoint.
  • Collaborate with team members to organize various events and company activities.
  • Manage schedules, appointments, and travel arrangements for the Director/CEO.
  • Act as the primary liaison for the Director for internal and external inquiries, ensuring timely communication.
  • Identify areas to improve efficiency in current management systems and meeting styles.
  • Conduct research, collect, and analyze data to prepare detailed reports and documents for the Director/CEO.
  • Prepare monthly reports for the Director/CEO, ensuring accuracy and timeliness.
  • Reconcile the Director's monthly expenses, particularly those related to travel, with the corporate office.
  • Monitor, screen, respond to, and distribute incoming communications (emails, calls, etc.).
  • Serve as the point of contact between the CEO and employees, clients, and partners.
  • Assist in organizing company events, meetings, and corporate functions.
  • Ensure compliance with company policies and procedures, maintaining consistency.
  • Uphold high standards of confidentiality and integrity in all aspects of the role.
  • Provide excellent customer service to internal and external stakeholders.
  • Assist in the preparation and editing of reports, presentations, and other administrative tasks.
  • Perform any additional administrative tasks as assigned by the Director/CEO.

General Expectations and Required Experience:

  • Strong documentation, reporting, and presentation preparation skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required.
  • Ability to work independently, demonstrating ownership of tasks and accountability.
  • Prior experience in a secretarial or executive assistant role is highly preferred.
  • Excellent organizational, time management, and communication skills.
  • A positive attitude with a proactive, solutions-oriented approach to work.
  • Ability to collaborate effectively as part of a team, while maintaining individual responsibilities.
  • Professional demeanor with a strong work ethic.
  • High level of confidentiality and integrity, particularly in handling sensitive information.
