Position Overview:

The HR Generalist at JAIN Group plays a vital role in managing human resources functions within the school community. This position is responsible for supporting a range of HR activities, from recruitment and on boarding to employee relations and compliance and requires strong communication and interpersonal skills, empathy, and a good understanding of the company's culture and policies.


Skills & Required criteria:

  • Bachelors degree HR or related (essential)
  • Master's degree in HR is preferred
  • Certifications in HR will be an added advantage
  • 5 years and above of relevant experience in field of HR
  • Effective HR Administration, People Management, Payroll Processing and taxation, Knowledge and understanding of employment laws and best practices
  • Excellent communication and interpersonal skills.
  • Strong organizational and problem-solving abilities.
  • Proficiency in HR software and Microsoft Office Suite

Key Roles and Responsibilities:

1. Recruitment and Staffing:

  • Support and coordinate with the Group HR in the recruitment process by collaborate with hiring managers to identify staffing needs and assist in developing position descriptions, forwarding the applications received at School and play a major role in conducting interviews, and facilitating the hiring process.
  • Familiarity with recruitment technologies and platforms for sourcing, screening, and managing applicants, such as LinkedIn Recruiter, Indeed, or other job posting sites, can be crucial for talent acquisition specialists.

2. On boarding and Orientation:

  • Conduct new employee orientations to ensure a smooth on boarding experience. Assist the group HR in the completion of paperwork, including background checks documents if any, opening and maintaining employee personal file at campus, and support any/all required documentation.
  • Act as a Buddy ("On boarding Buddy" or "New Hire Buddy), who assist and support new employees during their on boarding process and initial days or weeks at School.

The key roles and responsibilities of a Buddy HR shall be:

  • To help new hires get acclimated to the workplace environment, welcome new employees to the Academy and provide them with an overview of the school's culture, values, and policies.
  • To guide new hires through the school's ERP, software or systems. Support Group HR by extending assistance to new employees in completing necessary paperwork, such as tax forms, benefits enrolment, collection of pending documents and sharing the details of salary bank account.
  • Facilitate introduction to HOS/DPC, Supervisors, colleagues and team members and help new hires establish professional relationships within the academy.
  • Serve as a point of contact for new employees who have questions or concerns about school policies, procedures, or day-to-day operations and provide guidance and clarification.
  • Offer mentorship and emotional support to new hires, helping them adapt to the workplace culture and navigate the challenges of starting a new job.
  • Collect feedback from new employees about their on boarding experience and share this feedback with the Group HR team and reporting team to continually improve the on boarding process.
  • Follow-up with new hires periodically during their first few weeks or months to ensure they are settling in well and addressing any ongoing questions or concerns.
  • Share useful resources, such as intranet portals, school calendar, and contact lists, to help new hires access information easily.
  • Assist in resolving new employees any/all issues or challenges during their initial period, or escalate the issues to the appropriate HR personnel.
  • Help new employees understand the school's culture, values, and expectations, and ensure that they feel included and valued as part of the Academy.

3. Employee Relations:

  • Serve as a point of contact for employee inquiries and concerns, providing guidance and support.
  • Assist in the resolution of workplace conflicts or disputes, maintaining a positive and inclusive work environment.
  • Administer employee benefit like health insurance, ESIC and provident fund and provide support to resolve queries related to the same.

4. Compliance and Policy Adherence:

  • Ensure compliance with school policies, procedures as well as labour laws. Maintain accurate employee records and documentation and audit records at least twice in an academic year to keep the employee records up to date.
  • A strong understanding of employment laws and regulations is essential to ensure the organization complies with local, state, and federal laws. HR professionals need to stay updated on changes in labour laws.
  • Skilled in payroll software and understand for payroll processing
  • Proficiency in benefits administration software and platforms for managing employee benefits, enrolment, and compliance with benefits regulations.

5. Performance Management:

  • Support performance management processes, including performance appraisals, goal setting, and development plans. Assist the HOS/Founder/HR Head in addressing performance-related issues.

6. Training and Development:

  • Collaborate with the HOS to identify training needs and organize professional development opportunities for staff.

7. HR Reporting:

  • Prepare HR MIS reports to Group HR (Weekly/monthly) and management (monthly/quarterly/half yearly/annually) as per the frequency needed

8. HR Software and Systems:

  • Proficiency in using HR software and systems is crucial for managing HR functions efficiently. This may include using HRIS (Human Resources Information Systems), ATS (Applicant Tracking Systems), payroll software, and performance management software.

9. Data Analysis:

  • Should be comfortable working with data, conducting data analysis, and using tools like Microsoft Excel or more specialized HR analytics software.
