Job Description

Position Title:* Personal Assistant to CEO

Location: Marol , Andheri East (Mumbai)

Reports to: Chief Executive Officer (CEO)

Role Overview:

The Personal Assistant to the CEO will provide high-level administrative support and assistance to the CEO, ensuring smooth daily operations and optimal performance. This role is integral to managing the CEOs time effectively, prioritizing tasks, and streamlining communications. The PA will act as the liaison between the CEO and various departments, clients, and external partners, ensuring professional handling of all matters and priorities.


Key Responsibilities:


Calendar & Schedule Management:

- Proactively manage and coordinate the CEO’s calendar, including appointments, meetings, travel arrangements, and personal commitments.

- Prioritize and schedule meetings, ensuring that urgent requests are handled promptly.



Communication & Liaison:

- Serve as the first point of contact for internal and external communication, including emails, calls, and meeting requests.

- Screen and prioritize all incoming communications, drafting responses when necessary or forwarding as appropriate.

- Maintain discretion and confidentiality in all matters.



Travel & Logistics Coordination:

- Arrange complex travel itineraries, including flights, accommodation, and transportation for domestic and international trips.

- Prepare travel briefings, including background information, meetings, and events for the CEO.



Project & Task Management:

- Assist the CEO in managing key projects by tracking deadlines, ensuring follow-up, and helping with research and coordination.

- Prepare and gather materials for meetings and presentations.



Event Planning & Coordination:

- Coordinate special events, conferences, and board meetings, including scheduling, guest lists, logistics, and preparing materials.

- Ensure the CEO is well-prepared for all events, including briefings and follow-ups.



Financial Administration Support:

- Handle expense reporting and manage receipts for CEO’s business and personal expenses.

- Support the CEO in handling any budget-related administrative tasks as needed.


Miscellaneous Support:


- Provide general administrative support such as document preparation, filing, and other ad-hoc tasks.

- Monitor and manage the CEO’s workflow, helping with time-sensitive tasks and follow-ups.


Qualifications & Requirements:

* Proven experience as a personal assistant, executive assistant, or similar role, preferably supporting senior leadership in a fast-paced environment.

* Excellent organizational and time management skills with a keen attention to detail.

* Strong communication skills, both written and verbal, with the ability to interact professionally with high-level stakeholders.

* Discretion and confidentiality, especially in handling sensitive information.

* Proficient in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.

* Strong multitasking and problem-solving abilities, with the capability to work independently and prioritize tasks effectively.

* A proactive attitude and willingness to take initiative.

* Experience in the startup ecosystem or tech industry is a plus.
