We are looking for a highly organized and detail-oriented Service Coordinator to join our team. In this role, you will be responsible for ensuring smooth communication between customers and service teams, coordinating service requests, managing schedules, and providing administrative support to the service department. The ideal candidate will have excellent organizational skills, customer service expertise, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
  • Service Request Management:
    • Receive and process service requests from customers, ensuring they are logged, prioritized, and assigned to the appropriate service team.
    • Coordinate with customers to confirm service details, such as location, time, and specific service requirements.
    • Provide customers with updates on the status of their service requests, ensuring clear and timely communication.
  • Scheduling & Coordination:
    • Coordinate and schedule service appointments, ensuring the efficient allocation of resources (e.g., technicians, equipment, vehicles).
    • Optimize service schedules to minimize downtime and maximize resource utilization.
    • Manage service delivery timelines, ensuring that services are performed on time and according to customer expectations.
  • Customer Communication & Support:
    • Serve as the main point of contact for customers regarding service inquiries, issues, and updates.
    • Handle customer complaints and concerns, escalating issues to senior management as necessary to ensure customer satisfaction.
    • Provide exceptional customer service, maintaining positive relationships with clients and stakeholders.
  • Administrative Support:
    • Maintain accurate records of all service requests, work orders, and customer communications in the companys system.
    • Prepare and maintain reports on service performance, including response times, customer satisfaction, and service outcomes.
    • Assist in invoicing and billing processes related to service delivery.
  • Process Improvement:
    • Continuously monitor service operations and identify opportunities for improving efficiency and customer satisfaction.
    • Collaborate with the service team and management to improve workflows, service delivery, and internal communication.
  • Inventory & Resource Management:
    • Coordinate the availability and delivery of necessary tools, parts, or materials required for service operations.
    • Ensure that inventory levels are monitored and managed to prevent service delays.
Required Skills & Qualifications:
  • Proven experience as a Service Coordinator, Customer Service Representative, or in a similar role.
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal, with the ability to build rapport with customers.
  • Ability to handle difficult customer situations calmly and professionally.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.) and experience with service management software or CRM systems.
  • Strong attention to detail and accuracy in managing service schedules, records, and reports.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
Preferred Qualifications:
  • Experience in [specific industry, e.g., healthcare, IT services, field service management].
  • Knowledge of scheduling and dispatch software.
  • Familiarity with invoicing, billing, and basic financial processes.
  • High school diploma or equivalent required; Associates or Bachelors degree in business or related field is a plus.
