Key Result Areas/Accountabilities
Supporting Actions
Invoice Processing and Vendor Payments
- Review and verify vendor invoices for accuracy, including ensuring that the correct payment terms, purchase orders, and account codes are applied
- Process vendor invoices and prepare them for payment, ensuring timely and accurate processing in line with company policies and vendor agreements
- Ensure that all payments are made within the agreed-upon payment terms and that all vendor accounts are up to date
Vendor Communication and Relationship Management
- Maintain effective communication with vendors to resolve any payment discrepancies, invoice issues, or concerns related to payment status
- Respond to vendor inquiries regarding payment status, missing invoices, or payment issues promptly and professionally.
Reconciliation and Documentation
- Maintain accurate and organized records of payments, including payment dates, amounts, payment methods, and any associated documentation
- Ensure that all necessary backup documentation (purchase orders, receiving reports, etc.) Is properly attached and filed for audit purposes
Payment Reporting
- Prepare reports related to accounts payable, including weekly, monthly, or quarterly summaries of vendor payments and outstanding invoices
- Provide reports on accounts payable aging, ensuring that overdue payments are identified and escalated to management.
Employee Reimbursement
- Review and verify employee-submitted expense reports for accuracy, ensuring that all receipts, supporting documentation, and expense categories comply with company policies.
- Ensure that all employee expenses, including travel, meals, lodging, and supplies, are properly categorized and aligned with the company s reimbursement guidelines.
- Provide clear, timely, and professional communication with employees regarding the status of their reimbursement claims
