Actively and consistently support all efforts to simplify and enhance the customer experience.
Managing the front desk to ensure efficient management of visitors, vendors, customers etc.
Managing phone calls and correspondence (e-mail, letters, packages etc.)
Assisting with organizing office events, gatherings, employee engagement activities, team events, special occasions etc.
Updating records and databases with personnel and other necessary data as directed by the People team.
Tracking and processing office expenses, expense receipts.
Assist the real estate and facilities team with the with the management of office related supplier matters relationships
Issuing and collecting employee badges and access cards.
Supporting official errands inside and outside the office premises.
Keeping track of office supplies stocks, employee goodies, pantry supplies and place orders when necessary.
Managing and maintaining the office owned assets.
Managing executive visits, by coordinating travel and stay logistics.
Liasoning with the co-working space provider for activities like access management, postal mail coordination (postal/courier/equipment etc.), parking requirements, housekeeping, visitor management, office keys, and efficient upkeep of the facility and its utilities etc.
Working from the Chennai office at least 4 working days of the week.
Owing to the global nature of the business, the role would be expected to collaborate with teams in North America, and hence a few hours of overlap will be required during IST evening hours.
Perform additional duties as assigned.
What you will need:
Great English Communication
Qualifications in secretarial studies will be an advantage preferred.
BSc/BA/B.Com/MBA/BBA in any discipline. Relevant experience in office administration field is a plus.
Detail-orientation, Initiative taking, Organizational skills, Time management skills.
Written and verbal communication skills in English, Tamil, and preferably other Indian languages.
Being approachable and accessible to build a trustworthy relationship with employees.
Uphold the highest standards of confidentiality and integrity in handling sensitive information.
Familiarity with general office management processes and organizational awareness.
Ensure that interactions and communications reflect positively on the organization, and the leadership team.
Willingness to adapt and work in a faced paced environment, by learning and taking up new tasks and responsibilities
