Job Description

Metroglobal Limited, a prominent BSE Listed Enterprise is seeking a highly organized and efficient Office Administrator to join our team. The ideal candidate will be a proactive problem-solver with excellent communication and interpersonal skills, capable of managing a variety of administrative tasks and ensuring the smooth operation of our office.


Job Summary:

The Office Administrator is responsible for overseeing the day-to-day administrative functions of the office, providing support to various departments, and creating a positive and welcoming environment for employees and visitors. This role requires a strong attention to detail, the ability to multitask effectively, and a commitment to providing exceptional service.


Responsibilities:

  • Office Management:
    • Maintain a clean, organized, and well-stocked office environment.
    • Manage office supplies, including ordering, inventory tracking, and vendor management.
    • Oversee office equipment maintenance and repairs.
    • Manage incoming and outgoing mail and deliveries.
    • Coordinate office moves, renovations, or other facility-related projects.
    • Negotiate contracts with vendors for office services and supplies.
  • Administrative Support:
    • Provide administrative support to various departments, including scheduling meetings, preparing reports, and managing correspondence.
    • Manage calendars and travel arrangements for executives and other staff members.
    • Prepare and distribute meeting agendas and minutes.
    • Assist with onboarding new employees, including preparing workstations and providing necessary information.
    • Maintain and update company records and databases.
  • Communication and Reception:
    • Answer and direct phone calls, greet visitors, and provide general information about the company.
    • Manage the reception area, ensuring a professional and welcoming atmosphere.
    • Handle inquiries and requests from employees, clients, and vendors.
    • Communicate effectively with all levels of the organization.
  • Financial Administration:
    • Assist with basic accounting tasks, such as processing invoices and expense reports.
    • Track office expenses and prepare budget reports.
    • Manage petty cash.
  • Other Duties:
    • Assist with special projects and events as needed.
    • Stay up-to-date on company policies and procedures.
    • Perform other related duties as assigned.

Qualifications:

  • High school diploma or equivalent; Associate's or Bachelor's degree preferred.
  • Proven experience as an Office Administrator or in a similar administrative role.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Problem-solving and decision-making skills.
  • Positive and professional attitude.
