Job Description

Job Overview: The Payroll Executive Officer is responsible for managing and overseeing the payroll functions within the organization. The role involves ensuring accurate and timely processing of payroll, maintaining records, ensuring compliance with legal and regulatory requirements, and resolving payroll-related inquiries. The ideal candidate will have proficiency in Keka Payroll software and a strong understanding of payroll processes.

Key Responsibilities:

1. Payroll Processing:

  • Ensure timely and accurate payroll processing for all employees using Keka Payroll software.
  • Process monthly payroll calculations, including basic pay, deductions, overtime, bonuses, commissions, and reimbursements.
  • Review attendance, leave, and overtime records to ensure correct payroll calculations.
  • Generate and distribute payslips to employees through Keka or other HR platforms.

2. Keka Payroll Expertise:

  • Manage payroll entries and adjustments within the Keka platform, ensuring data integrity and accuracy.
  • Troubleshoot and resolve any technical issues related to Keka payroll software.
  • Provide support and training to employees regarding Keka usage, including access to payslips, tax information, and other payroll details.

3. Tax and Statutory Compliance:

  • Calculate and deduct statutory dues like Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), and income tax as per government regulations.
  • Ensure compliance with local labor laws, statutory regulations, and tax laws related to payroll.
  • Prepare and submit statutory reports and filings, including PF, ESI, and tax reports, in a timely manner.
  • Coordinate with tax authorities or third-party agencies for tax-related matters.

4. Employee Queries:

  • Address and resolve payroll-related queries and concerns from employees in a professional and timely manner.
  • Provide clarification regarding payroll discrepancies, tax deductions, and other payroll-related inquiries.
  • Communicate and collaborate with the HR department to resolve payroll issues related to employee benefits, bonuses, and leave balances.

5. Data Management and Record Keeping:

  • Maintain accurate payroll records, including salary details, tax filings, and statutory deductions.
  • Ensure all payroll documentation is stored securely and in compliance with legal requirements.
  • Regularly audit payroll data to ensure accuracy and compliance with company policies and statutory regulations.

6. Payroll Reporting:

  • Generate payroll-related reports, such as attendance reports, payroll summary, tax reports, and statutory reports, for management review.
  • Provide insights and analysis on payroll expenses, trends, and compliance to help in budgeting and decision-making.
  • Assist in year-end reporting, including issuing Form 16, and other tax-related documents.

7. Confidentiality and Security:

  • Ensure the confidentiality and security of employee payroll data at all times.
  • Adhere to data protection and privacy regulations related to payroll processing.

8. Continuous Improvement:

  • Suggest and implement improvements in payroll processes and systems to enhance accuracy, efficiency, and compliance.
  • Stay updated on changes in labor laws, taxation, and other relevant regulations that impact payroll processing.

Qualifications:

  • Bachelors degree in accounting, Finance, Human Resources, or a related field (B.Com., M.com., MBA).
  • Proven experience in payroll processing, ideally in a similar role (4-6 years).
  • Proficiency in Keka Payroll software is a must.
  • Knowledge of statutory compliance, including Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), and income tax.
  • Strong attention to detail and ability to handle sensitive employee data with confidentiality.
  • Excellent problem-solving, analytical, and organizational skills.
  • Ability to work under pressure and meet deadlines.
  • Strong communication skills, both verbal and written.
  • Ability to work independently and as part of a team.

Working Conditions:

  • Full-time position, standard working hours (may require occasional overtime during payroll cycles or year-end closing).
  • Office-based position with possible remote work flexibility (if applicable).

Physical Requirements:

  • Ability to work with computers and office equipment for extended periods.
