Job Description

We are seeking an experienced Facility Manager with a minimum of 10 years in the facility management industry. The ideal candidate will be responsible for overseeing the daily operations of the facility, managing a diverse team, ensuring compliance with safety and building regulations, and maintaining a comfortable and efficient environment for all occupants. The Facility Manager will play a key role in improving facility performance, implementing cost-effective solutions, and enhancing operational efficiency.

Key Responsibilities:

  • Facility Operations Management:
    Oversee the day-to-day operations of the facility, ensuring efficient and smooth functioning across all departments and services (maintenance, housekeeping, security, etc.).
  • Team Leadership:
    Manage, mentor, and supervise facility management staff, contractors, and service providers. Ensure proper training, development, and performance evaluations.
  • Preventive Maintenance:
    Develop and implement a comprehensive preventive maintenance program for all facility systems and equipment, including HVAC, plumbing, electrical, and safety systems, to minimize downtime and reduce repair costs.
  • Budget Management:
    Prepare, manage, and monitor the facilitys annual operating budget. Implement cost-saving initiatives without compromising on quality or service levels.
  • Health & Safety Compliance:
    Ensure that all facility operations adhere to relevant health, safety, and environmental regulations. Develop and enforce safety protocols and emergency response plans.
  • Vendor & Contractor Management:
    Manage and negotiate contracts with external vendors and service providers. Monitor performance and ensure that services are delivered according to the terms and quality standards.
  • Space Planning & Utilization:
    Oversee space planning and office layout management. Ensure that the facility space is utilized efficiently and effectively in line with organizational needs.
  • Facility Inspections & Audits:
    Conduct regular inspections of the facility, identifying any areas of improvement or potential risks. Ensure that the building and its systems meet regulatory standards and operational needs.
  • Sustainability Initiatives:
    Drive sustainability initiatives within the facility, including energy efficiency programs, waste management, and green building certifications (e.g., LEED).
  • Emergency Response & Contingency Planning:
    Develop and maintain contingency plans for emergencies, including fire, floods, power outages, and other crises. Lead the team in ensuring readiness for any potential emergency scenarios.
  • Reporting & Documentation:
    Prepare regular reports on facility performance, maintenance activities, and budget adherence. Provide updates to senior management and stakeholders as required.

Qualifications & Requirements:

  • Education:
    • Bachelor's degree in Facility Management, Engineering, Business Administration, or a related field. (Master's degree is a plus).
  • Experience:
    • Minimum of 10 years of experience in facility management or a related field, with at least 5 years in a leadership or managerial role.
  • Certifications:
    • FM (Facility Management) certification or equivalent is preferred (e.g., IFMA, BIFM, RICS, or other recognized bodies).
  • Skills & Competencies:
    • Proven experience managing facility operations, budgets, teams, and vendors.
    • Strong knowledge of building systems (HVAC, electrical, plumbing, etc.), health and safety regulations, and sustainability practices.
    • Excellent leadership, project management, and organizational skills.
    • Strong analytical skills with the ability to solve complex operational issues.
    • Ability to manage multiple priorities and deadlines in a fast-paced environment.
    • Proficiency in facility management software, MS Office, and other relevant tools.
  • Personal Traits:
    • Strong decision-making and problem-solving abilities.
    • Excellent interpersonal and communication skills.
    • Ability to work independently and collaboratively across teams.
