Job Description

Objectives of this role

  • Handling service desk jobs like receiving telephone calls and aligning the needs during the shift time by coordinating with estate manager, admin staff and or site team as needed.
  • Must have Telephone etiquettes in regards to answering calls, transferring calls, putting call on hold, noting messages, answering calls in first 3 rings.
  • Maintaining all orders received through telephone in the register and computer program to ensure complete transparency.
  • Collaborating with inhouse cooks, room boys to understand family requirements and order from approved vendors.
  • Handling material movement (inwards & outwards) during shift hours in prescribed formats. Also, necessary records to be maintained properly.
  • Physical verify inventory levels, demand forecasts and consumption patterns to optimise stock levels and reduce carrying costs. Maintaining complete details of procurement- monthly, quarterly and yearly basis in an excel sheet or other systems developed at site level.
  • Assists admin team for additional tasks as assigned by Manager and Promoters from time to time.
  • Support to the site team during events & special occasions.
  • Monitoring inventory levels, taking physical stock count and implementing inventory management strategies to manage stock levels and avoid shortages or excesses.
  • Handling telephone calls and noting down in detail the requests in respective books.
  • Source and negotiate with potential suppliers, assess their capabilities and evaluate their suitability based on predefined criteria.
  • Physical verify inventory levels, demand forecasts and consumption patterns to optimise stock levels and reduce carrying costs.
  • Monitoring CCTV Surveillance during operational hours & escalate abnormal situations from time to time.

Required skills and qualifications

  • Bachelor's degree in any field, preferably in supply chain management, business administration or a related field.
  • 3+ years of experience as a purchasing and telephone assistant.
  • Knowledge of telephone etiquettes.
  • Multi-tasking person with positive outlook.
  • Knowledge of computer and proficient in MS Word, Excel, PPT and inventory management systems.
  • Must be proactive with excellent English communication and interpersonal skills.
  • Ability to work collaboratively with cross-functional teams.
  • Willingness to work in a fast-paced and competitive environment.

Preferred skills and qualifications

  • Know-how in telephone etiquettes, EPABX system, supply chain management, business administration or related field.
  • Hospitality background with knowledge of telephone operator and purchase process.
  • Relevant certification in procurement or supply chain management.
  • Detail-oriented with strong organisational and time management abilities.
  • Proficiency in English communication skills to effectively communicate with diverse stakeholders.
