Job Description: Telephone Operator
We are seeking a Telephone Operator to join our team and provide excellent customer service and communication support. In this role, you will be the first point of contact for incoming calls, ensuring that callers are directed to the appropriate departments or individuals in a professional and efficient manner. The ideal candidate will be highly organized, possess excellent communication skills, and demonstrate a friendly and approachable demeanor.
Handling Incoming Calls: Answer inbound calls promptly and professionally, providing assistance as needed. Route calls to the appropriate person or department, ensuring that each call is handled efficiently and with the highest level of customer service.
Making Outgoing Calls: Place outgoing calls for internal departments, clients, or vendors, ensuring clarity and accuracy of information. Assist with appointment scheduling or reminders as required.
Maintaining Call Logs: Record and maintain accurate logs of all incoming and outgoing calls, including messages and inquiries. Provide detailed reports of call volumes and issues when required.
Customer Assistance & Support: Provide general information and assistance to callers, helping to address basic inquiries. Resolve issues where possible or direct callers to the appropriate resources for further assistance.
Message Handling: Take and deliver messages promptly and accurately to the relevant personnel. Ensure that urgent messages are prioritized and delivered in a timely manner.
Operator Console Management: Use the telephone system to monitor call queues, respond to requests, and ensure that calls are answered within a timely manner. Adjust call routing as needed to maintain efficient operations.
Maintain a Professional Environment: Ensure that all interactions, whether by phone or in person, reflect the organization’s values and uphold professionalism, confidentiality, and integrity.
Support for Administrative Tasks: Assist with administrative duties, including sorting mail, directing visitors, or providing general office support when needed.
Multi-tasking: Juggle multiple responsibilities at once, such as answering calls, taking messages, and assisting with internal requests, while maintaining focus and accuracy.
Customer Relations: Build and maintain positive relationships with clients, customers, and other employees. Handle inquiries or complaints in a courteous and professional manner.
