Role & responsibilities
Supervise and provide guidance to administrative staff members, including hiring, training, and performance evaluations.
Measures, reports and communicates service level goals and quality assurance attainment on a monthly basis for the Operations center overall.
Creates, revises and validates critical processes.
Analyzes, identifies, and corrects data issues with systems used or owned by the department.
Designs and produces metrics used to measure efficiency and effectiveness in order to drive process improvements aligned with desired customer outcomes.
Coordinates with the IT department to resolve technology issues affecting production.
Manage and allocate resources effectively to meet operational needs and budgetary constraints.
Oversee facilities management, including maintenance, repairs, renovations, and office layout.
Monitor and manage vendor contracts and relationships to ensure high-quality service and cost-effectiveness.
Develop and implement health and safety protocols to ensure a safe work environment.
Develop and maintain records and databases, ensuring accuracy and confidentiality.
Identify areas for process improvement and implement changes to enhance operational efficiency.
Collaborate with other departments to streamline communication and operations across the organization.
Stay updated on industry trends and best practices to recommend innovative solutions to enhance administrative operations.
Utilizes skills, knowledge and experience in continuous improvement methodologies and tools such as Lean Six Sigma to partner with business functions and drive positive impact to our customer experience and satisfaction.
Provides thought leadership and guidance on process improvement frameworks by advocating for new ways of doing things, challenging conventional wisdom and introducing and demonstrating proven strategies and techniques.
Partners with various business practitioners on operational design and processes to enhance the customer experience and accuracy while balancing operational efficiency.
Ensures that all process redesign is repeatable, sustainable, and reduces rework and cycle times while improving quality.
Evaluate programs, policies and procedures.
Preferred candidate profile
Minimum bachelor's degree in business administration, operations management, or a related field.
Maximum of 1.5 years of experience in administrative or operations management roles.
Strong leadership and supervisory skills, with the ability to motivate and guide a team.
Excellent organizational and multitasking abilities, with a keen eye for detail.
Proficient in using various computer software, including MS Office suite and database systems.
Strong analytical and problem-solving skills to identify issues and implement effective solutions.
Excellent communication and interpersonal skills to collaborate with staff at all levels.
Knowledge of health and safety regulations and best practices.
Manage and contribute to the development of outreach strategy that may include relationship development, communications and compliance.
Represent the program or function within the department, unit or school.
Ability to work under pressure and meet deadlines in a fast-paced environment.
Proven ability to adapt to changing priorities and juggle multiple tasks simultaneously.
