Job Responsibilities:
Plan and prepare finance related reports required to maintain office infrastructure and facilities.
Petty Cash Management Manage Petty cash & keep the tracker updated all the time.
Travel Management Work with Finance team for travel related arrangements & processing reimbursements.
Vendor management- managing installation and commissioning of office equipment that is required for the facility IT requirements & Services, Security services, e tc
Cab Management Facilitating day-to-day operations of the entire office transport system, including employee pickups/drop-offs (shift basis) , guest travel and handling ad-hoc requests.
Event Management Coordination with Operations & Finance team to organize meetings and conferences, make travel arrangements and hotel reservations for guests and staff
Asset Management Oversee all the company owned items and make sure it is properly used and stored securely.
Manage maintenance & replacement of office equipment, appliances, furniture, furnishings, etc., Co-ordinate with the service provider(s) to get it repaired or fixed within the timeline.
Ensure the availability of daily miscellaneous requirements to provide harmonious work culture to employees.
Keep all the administrative bills properly documented and settle the dues on time to make sure none of the services is interrupted.
Act as info-hub to provide administration related information and supervise administrative activities such as housekeeping, catering, mail/courier deliveries, stationery stocks, pest control, etc
Work closely with vendors to identify opportunities for cost reduction while maintaining quality and service standards. Negotiate discounts, rebates, and favorable payment terms to reduce overall procurement costs.
Proficiency in office applications such as MS Word, MS Excel, etc
