As a Reservation Associate at Scylla Luxury Resort Spa, you will be responsible for handling reservation inquiries, assisting guests with booking accommodations, and providing exceptional customer service. Your role is crucial in ensuring a seamless reservation process and contributing to the overall satisfaction of our guests.
Responsibilities:
1. Reservation Management:
- Handle incoming reservation inquiries via phone, email, and online channels promptly and professionally.
- Assist guests with room reservations, special requests, and accommodation preferences.
- Input reservation details accurately into the system and confirm bookings to guests.
2. Guest Communication:
- Respond to guest inquiries, questions, and concerns in a courteous and timely manner.
- Provide information about room rates, availability, resort amenities, and policies.
- Communicate effectively with guests to understand their needs and preferences.
3. Sales Support:
- Promote special packages, offers, and promotions to encourage bookings and upsell resort amenities.
- Assist in maximizing room revenue by suggesting alternative dates, room types, or packages when necessary.
- Collaborate with the sales and marketing team to support promotional activities and campaigns.
4. Customer Service:
- Ensure a high level of customer service by addressing guest concerns, requests, and feedback professionally and promptly.
- Assist guests with modifications, cancellations, and re-bookings as needed.
- Handle guest complaints and escalate issues to the Reservation Manager or relevant department when necessary.
5. Administrative Tasks:
- Maintain accurate records of reservations, guest information, and correspondence.
- Prepare daily reservation reports, occupancy forecasts, and other administrative documents as required.
- Assist in maintaining inventory controls and room allocation to maximize occupancy.
6. Collaboration:
- Coordinate with other departments such as front office, housekeeping, and sales to ensure seamless guest experiences.
- Communicate special requests, room preferences, and guest preferences to relevant departments.
7. Quality Assurance:
- Ensure compliance with reservation procedures, rate policies, and guest confidentiality standards.
- Uphold the resorts standards of excellence in service delivery and guest satisfaction.
Qualifications:
- High school diploma or equivalent; additional education or training in hospitality is a plus.
- Previous experience in customer service, reservations, or a related field is preferred.
- Excellent communication skills, both verbal and written.
- Strong attention to detail and accuracy in data entry.
- Proficiency in computer systems and reservation software.
