Industry: Textile Industry

Reports to: Managing Director / Executive Director


Job Summary


The Admin Officer will provide administrative support to ensure the smooth operation of the textile company. They will be responsible for managing administrative tasks, coordinating travel arrangements, and maintaining records and databases.


Key Responsibilities


1. Administrative Support

  • Provide administrative assistance to senior management and other departments.
  • Manage and maintain administrative records, files, and databases.
  • Develop and implement administrative policies and procedures.

2. Travel Arrangements

  • Coordinate travel arrangements for employees, including flight bookings, hotel reservations, and transportation.
  • Prepare travel itineraries and ensure that all necessary travel documents are in order.

3. Record Keeping and Database Management

  • Maintain accurate and up-to-date records and databases, including employee records, company policies, and procedures.
  • Ensure that all records and databases are confidential and secure.

4. Communication and Correspondence

  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Prepare and distribute company-wide communications, including newsletters and announcements.

5. Event Planning and Coordination

  • Plan and coordinate company events, including meetings, conferences, and training sessions.
  • Ensure that all events are well-organized and run smoothly.

6. Budgeting and Financial Management

  • Assist with budgeting and financial planning, including preparing and managing administrative budgets.
  • Ensure that all financial transactions are accurately recorded and reported.

7. Compliance and Risk Management

  • Ensure that the company is in compliance with all relevant laws, regulations, and industry standards.
  • Identify and mitigate administrative risks, including data breaches and other security threats.
  • Requirements

1. Education and Experience

  • Bachelor's degree in Business Administration, Human Resources, or a related field.
  • Minimum 2-5 years of experience in an administrative role, preferably in the textile industry.

2. Skills and Knowledge

  • Excellent administrative, organizational, and communication skills.
  • Proficient in Microsoft Office, including Word, Excel, and PowerPoint.
  • Strong attention to detail and ability to maintain confidentiality.

3. Personal Qualities

  • Proactive and flexible, with a positive attitude and strong work ethic.
  • Ability to work independently and as part of a team.
  • Strong problem-solving and analytical skills.
