Job Description

Position: Administration Executive
Location: Indore
Department: Administration / HR

Job Overview:
We are seeking a highly organized and detail-oriented Administration Executive to support the day-to-day operations of our organization. The ideal candidate will manage a variety of administrative tasks, with a focus on HR administration, travel coordination, event planning, and expense management. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently.


Key Responsibilities:

HR Administration Support:

    • Assist with employee onboarding and maintaining HR records.
    • Support in employee monitoring and attendance tracking.
    • Coordinate employee-related requests and manage queries.

Travel and Logistics Coordination:

    • Manage travel bookings, including flights, hotels, and ground transportation.
    • Ensure smooth and timely travel arrangements in accordance with company policies.

Event Coordination:

    • Plan and coordinate internal and external events, meetings, conferences, and team-building activities.
    • Handle logistics, venue arrangements, and guest lists for corporate events.

Zoom/Webinar Link Management:

    • Organize and schedule Zoom meetings or webinars.
    • Ensure that the correct links, invites, and relevant information are shared in a timely manner.

Inventory and Office Supplies:

    • Oversee the office inventory, including managing the stock of office supplies and materials.
    • Ensure that necessary equipment and supplies are available for the team.

Vendor Management and Payments:

    • Liaise with vendors and suppliers to ensure timely delivery of services and products.
    • Process vendor payments, track invoices, and maintain payment records.

Expense Tracking and Reporting:

    • Track and manage office expenses, ensuring compliance with budget guidelines.
    • Prepare regular reports for management on expenditure and budget status.

General Administrative Support:

    • Provide general office support, including scheduling meetings, managing calendars, and handling correspondence.
    • Ensure the smooth functioning of the office and handle any administrative issues that arise.

Qualifications:

  • Bachelors degree in Business Administration, HR, or related field.
  • Proven experience in an administrative role (preferably in HR or office management).
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Zoom.
  • Excellent verbal and written communication skills.
  • Ability to manage time effectively and prioritize tasks.
  • Attention to detail and high level of accuracy.
  • Positive attitude and ability to work well under pressure.
