Job Description

Position: Personal Assistant

Location: Mumbai BKC / Navi Mumbai


Purpose

We are seeking an experienced Personal Assistant with 10-12 years of experience in the Data Centers industry to provide high-level administrative support to the Head Design. The ideal candidate will be highly organized, detail-oriented, and adept at managing complex schedules and confidential information. This role offers the opportunity to work in a dynamic and fast-paced environment, supporting the leadership team in driving the growth and success of our business.

Experience

  • 10-12 years of experience as a Personal Assistant in the Data Centers industry
  • Demonstrated experience in managing complex calendars, travel arrangements, and confidential information
  • Proven track record of providing high-level administrative support to senior executives

Roles and Responsibilities

  • Manage and maintain calendars, including scheduling meetings, appointments, and travel arrangements
  • Coordinate and prioritize incoming requests, ensuring timely responses and follow-up actions
  • Prepare and organize internal and external meetings, including logistics, agendas, and materials
  • Handle sensitive and confidential information with integrity and discretion
  • Act as a liaison between the leadership team and internal/external stakeholders
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Assist in special projects and initiatives as assigned
  • Manage and reconcile expenses of the Head Design

Education Qualification

Any Graduation with core experience of Personal Assistant or Secretary

Behavioural Skills

  • Exceptional organizational and time management skills
  • Strong interpersonal and communication skills
  • Ability to handle multiple tasks and prioritize effectively
  • High level of discretion and professionalism
  • Proactive and resourceful approach to problem-solving

Technical Skills

  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Experience with calendar management and scheduling tools
  • Knowledge of travel and expense management systems
  • Ability to maintain confidentiality and handle sensitive information

Non-Negotiable Skills

  • Exceptional organizational and time management skills
  • Strong interpersonal and communication skills
  • Proven track record of providing high-level administrative support to senior executives
