Job Description

Job Summary: We are seeking a highly organized and detail-oriented HR Admin to join our team. The ideal candidate will be responsible for managing day-to-day administrative activities, including ticket booking, invoice processing, stationery management, various types of purchases, and arranging meetings. This role requires excellent communication skills and the ability to multitask in a fast-paced environment.



Key Responsibilities:


Administrative Support:

  • Manage day-to-day administrative tasks to ensure smooth office operations.
  • Handle correspondence, phone calls, and emails.
  • Maintain and update office records and files.

Travel and Ticket Booking:

  • Coordinate and book travel arrangements for employees, including flights, accommodations, and transportation.
  • Ensure all travel bookings are cost-effective and within company policy.

Invoice Processing:

  • Process and verify invoices for accuracy and completeness.
  • Liaise with vendors and suppliers to resolve any discrepancies.
  • Maintain accurate records of all financial transactions.

Stationery and Office Supplies:

  • Monitor and manage inventory of office supplies and stationery.
  • Place orders for replenishment and ensure timely delivery.
  • Negotiate with suppliers to obtain the best prices and terms.

Purchasing:

  • Handle all types of purchases required for the office, including equipment, furniture, and other supplies.
  • Ensure all purchases are made in accordance with company policies and budget constraints.
  • Maintain records of all purchases and expenditures.

Meeting and Event Coordination:

  • Arrange and coordinate meetings, conferences, and events.
  • Prepare meeting agendas, take minutes, and distribute them to participants.
  • Ensure meeting rooms are set up and equipped with necessary materials.
