The primary role of an Engineering Executive Assistant position is to provide administrative support to principal engineers or executives. Key responsibilities include:
Managing correspondence and communications
Organising calendars and scheduling meetings
Coordinating travel and accommodation
Preparing expense reports
Taking minutes during meetings
Executing administrative tasks
Assisting engineers with performing application or industry specific research by compiling the relevant case studies and academic publications as required
One is expected to be able to manage time well, communicate effectively, be well organised, act with initiative and exercise professionalism and discretion while handling sensitive information. This position may also require one to travel both domestically and internationally on occasion.
Knowledge Requirements Mandatory
Proficiency in Microsoft Office and Google Workspace applications
Proficiency in productivity and organisation tools such as Google Calendar
Preferred
Document preparation with LaTeX (TeX Typesetting)
Document preparation with Markdown, reStructuredText, XML or HTML
Working with project management tools such as Basecamp and Atlassian JIRA
Working with blackboard, diagramming, and presentation tools such as Miro
Experience and Qualification Requirements
At least 2 years of experience working on industrial, data or software engineering projects or project management
Education: Completion of high school or equivalent
Language: High level of proficiency in spoken and written English
