Tendering Executive

Job Summary:
We are looking for a GEM Tendering Executive with expertise in handling Government e-Marketplace (GEM) tenders for medical devices. The candidate will be responsible for managing the entire tendering process, from bid preparation to submission, ensuring compliance with government regulations, and coordinating with internal teams to secure successful bids.

Key Responsibilities:

Tender Management:

• Identify and evaluate relevant tenders on the GEM portal and other government procurement platforms.
• Prepare and submit bids, ensuring compliance with tender requirements.
• Coordinate with sales, finance, and legal teams to gather necessary documentation.
• Monitor tender deadlines and ensure timely submissions.

Documentation & Compliance:

• Maintain and update all required registration documents, certifications, and licenses on the GEM portal.
• Ensure compliance with government procurement policies and medical device regulations.
• Prepare and manage EMD (Earnest Money Deposit), Performance Bank Guarantees, and other tender-related financial instruments.

Vendor Registration & Pricing:

• Manage product listings, pricing updates, and inventory on the GEM portal.
• Ensure that all medical devices are correctly categorised and updated with necessary specifications.
• Work closely with the finance team to determine competitive pricing strategies.

Coordination & Follow-ups:

• Liaise with government agencies, procurement officers, and internal teams to resolve tender-related queries.
• Track tender progress, submission status, and awarded contracts.
• Follow up on payment collections and contract execution post-award.

Market Research & Analysis:

• Conduct market research to understand competitor pricing and bidding strategies.
• Analyze past tender results to improve future bid success rates.
• Stay updated on policy changes, new tendering opportunities, and government procurement trends.

Qualifications & Skills:

• Bachelors degree in Business, Commerce, Healthcare, or a related field.
• 2+ years of experience in GEM tendering, government procurement, or medical device sales.
• Strong knowledge of GEM portal operations, tender documentation, and compliance requirements.
• Proficiency in MS Office (Excel, Word, PowerPoint) and ERP systems.
• Excellent communication, negotiation, and analytical skills.
• Ability to work under tight deadlines and handle multiple tenders simultaneously.
