Job Description

Key Responsibilities:


1. Administrative Support:

  • Manage the Principals calendar, schedule appointments, and coordinate meetings.
  • Draft, review, and distribute correspondence on behalf of the Principal.
  • Prepare reports, presentations, and other documentation as required.
  • Maintain confidential records and files related to school operations and personnel.

2. Communication and Coordination:

  • Serve as the first point of contact for all communication directed to the Principal, including screening calls and responding to emails.
  • Liaise with school staff, parents, and external stakeholders to convey information and coordinate tasks.
  • Ensure timely follow-ups on actions, deadlines, and commitments.

3. HR Support:

  • Manage employee joining formalities, documentation, and maintenance of personnel files.
  • Support the onboarding process by coordinating induction programs and ensuring compliance with HR policies.
  • Assist in addressing employee queries.
  • Assist expat staff with basic accommodation needs, including identifying housing options and addressing maintenance requirements.
  • Provide ongoing support.

5. Educational Portal Management:

  • Handle educational portals such as SARAL, UDISE, and APAAR, ensuring timely data updates and compliance with regulatory requirements.
  • Coordinate with relevant authorities and school departments to manage portal-related tasks effectively.

6. Event and Meeting Management:

  • Organize and coordinate school events, meetings, and conferences involving the Principal.
  • Take minutes during meetings and circulate them promptly.
  • Arrange travel and accommodation for the Principal when necessary.

7. Office Management:

  • Manage office supplies, equipment, and resources required for the Principals office.
  • Ensure a professional and welcoming environment in the Principals office.
  • Handle incoming and outgoing mail efficiently.

8. Confidentiality and Professionalism:

  • Maintain the highest level of confidentiality regarding school matters and personal information.
  • Represent the Principal in a professional and courteous manner at all times.

Key Skills and Qualifications:

  • Bachelor’s degree in Business Administration, Human Resources, Management, or related field (preferred).
  • Prior experience as a Personal Assistant or similar role, preferably in an educational setting, especially in IB schools.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and educational portals like SARAL, UDISE, APAAR. (preferred)
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Basic knowledge of expat needs and HR documentation processes is an advantage.
  • Discretion, integrity, and a commitment to maintaining confidentiality.
