We are hiring for the role of Secretarial Compliance.

The role involves managing vendor-related processes, ensuring seamless coordination with independent directors, arranging board and committee meetings, and handling event management. The individual will also facilitate communication between internal and external stakeholders to ensure the smooth execution of day-to-day operations.


Job Role :


1. Vendor Relationship Management:

  • Efficiently process vendor invoices for outsourced services and regulatory entities, including SEBI and stock exchanges.
  • Oversee the accurate handling of invoices pertaining to sitting fees for independent directors.
  • Address and resolve complex tax-related concerns, encompassing TDS (Tax Deducted at Source) and GST matters, ensuring compliance with relevant regulations.

2. Coordination with Independent Directors:

  • Orchestrate seamless travel and accommodation logistics for independent directors attending physical board meetings and other official events.
  • Provide comprehensive support for directors on company-related matters, including the generation of Form 16, bank account coordination, and required documentation.

3. Internal & External Stakeholder Engagement:

  • Serve as a liaison between internal teams and external parties, ensuring timely data collection, requisitions, and submissions on a daily basis.
  • Foster effective communication to streamline workflow and project execution.

4. Virtual Meeting Coordination:

• Manage the scheduling and facilitation of virtual meetings, including official committee discussions, ensuring smooth operations and adherence to set timelines.

• Ensure the accurate recording and documentation of all virtual sessions, maintaining a comprehensive archive of meeting minutes and relevant materials.

5. Event Planning & Execution:

• Lead the end-to-end planning and execution of significant company events, such as board meetings, directors' training programs, and Annual General Meetings (AGMs).

• Ensure every aspect of event logistics is meticulously managed, from venue arrangements to post-event documentation.

6. Miscellaneous Responsibilities:

•Undertake additional tasks and special assignments as delegated by team members or the reporting authority, contributing to the smooth operation of the department and organization.

- Understanding of Taxation & Accounting Fundamentals
- Strong Analytical & Problem-Solving Abilities
- Proficiency in Virtual Meeting & Event Management Tools
- Outstanding Communication & Interpersonal Skills
Ability to manage multiple stakeholders, both internal and external, with attention to detail.

Preferred Qualifications :
- Bachelors/Masters degree in Commerce, Finance, or a related field.
- Prior experience in vendor management, event coordination, or board-level support roles.
- Familiarity with corporate governance processes and compliance processes.
