About the Role:
We are seeking an experienced and highly organized Personal Assistant/Secretary to provide administrative support to our senior leadership team. The ideal candidate will be responsible for managing day-to-day activities, coordinating travel arrangements, preparing documents, and handling confidential matters.
Key Responsibilities:
1. Manage calendars, schedule appointments, and coordinate meetings.
2. Make travel arrangements, book flights, and arrange accommodations.
3. Prepare and edit documents, reports, and presentations.
4. Handle confidential matters, maintain discretion, and uphold data protection protocols.
5. Coordinate events, conferences, and other business-related activities.
6. Develop and implement effective filing systems, both physical and digital.
7. Provide general administrative support, including answering phone calls, responding to emails, and welcoming visitors.
8. Maintain accurate records, databases, and spreadsheets.
9. Anticipate and prioritize tasks to meet deadlines.
10. Develop and maintain positive working relationships with colleagues, clients, and stakeholders.
Requirements:
1. 2+ years of experience as a Personal Assistant/Secretary.
2. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
3. Excellent communication, organizational, and time management skills.
4. Ability to maintain confidentiality and handle sensitive information.
5. Flexibility to work outside regular hours, if required.
6. Strong problem-solving and analytical skills.
Nice to Have:
1. Experience working with senior executives or high-level officials.
2. Knowledge of email management tools and calendar organization.
3. Familiarity with data protection and confidentiality protocols.
