Job Description

Responsibilities:

Key Responsibility/Role Expectation
• Coordinate executive communications, including taking calls, responding to emails and interfacing with team, internal stakeholders, etc., answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution
• Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
• Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries
• Co-ordinate work with other staff/team members as needed (within & outside the BU)
• Manage travel itineraries and prepare, reconcile, and submit expense reports
• Arrange corporate events to take place outside of the work-place, such as golf tournaments, team building activities, fund-raising events and staff appreciation events
• Maintain an organized filing system of paper and electronic documents
• Determine priority of matters of attention for the executive; redirect matters to staff to handle, or handle matters personally, as appropriate
• Draft, review and send communications on behalf of the executive
• Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.
• Uphold a strict level of confidentiality
• Develop and sustain a level of professionalism among staff and customers

Education & Professional Experience
• Minimum of 3+ years of experience as an Executive Administrative Assistant reporting directly to senior management
• Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
• Proficiency in collaboration and delegation of duties
• Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
• Attention to details is important
• Ability to interact seamlessly with senior executives within the corporation
• Exceptional interpersonal skills
• Friendly and professional demeanor
