Job Title: Payroll Manager
Location: Head Office, Bhopal
Reports to: Head HR Ops
Team Size: 2 members
Job Brief:
- We are seeking an experienced Payroll Manager to oversee the payroll function in a dynamic environment for a workforce of over 7,000 employees.
- The ideal candidate will ensure timely and accurate salary disbursement, maintain compliance with tax regulations, and manage the outsourced payroll process effectively.
- This role will involve managing a team of 2 and collaborating with the payroll vendor and contractual manpower vendor to ensure efficient operations. The role encompasses handling payroll for both permanent (70%) and contractual (30%) employees.
Key Responsibilities:
Payroll Operations:
- Supervise and manage the payroll process for employees on company and contractual rolls, ensuring accuracy, timeliness, and compliance.
- Oversee payroll vendor operations, ensuring service level agreements (SLAs) are met and that any discrepancies are resolved quickly.
Compliance and Regulatory Adherence:
- Ensure payroll operations are fully compliant with the state and central labor laws, tax regulations, and statutory requirements, including PF, ESI, PT, LWF and TDS by publishing monthly compliance dashboards.
- Keep up-to-date with changes in tax laws, labor laws, and other regulatory changes impacting payroll.
Payroll Processing & Reconciliation:
- Facilitate seamless monthly payroll runs for all employees by coordinating with the payroll vendor.
- Review payroll entries, adjustments, and deductions for both permanent and contractual staff.
- Ensure accurate benefits processing, including PF, gratuity, ESI, and other statutory benefits.
Vendor Management:
- Act as the primary liaison with the outsourced payroll service provider, ensuring efficient workflow and quick resolution of issues.
- Review vendor performance regularly and suggest improvements and process enhancements as necessary.
Payroll Reporting:
- Generate periodic payroll reports (e.g., variance reports, tax liabilities, salary breakdowns, headcount reports) for internal review and analysis.
- Prepare payroll summary reports for senior management and finance for budgeting and audits.
Audit and Data Integrity:
- Conduct regular payroll audits to ensure accuracy and resolve any discrepancies.
- Ensure payroll data is accurately maintained and securely stored.
- Support internal and external audits related to payroll operations.
Process Improvement:
- Work with HR and Finance teams to streamline payroll processes, improve accuracy, and reduce cycle time.
- Suggest improvements to the payroll system and processes for better efficiency, - particularly in relation to outsourced vendor management.
Team Management:
- Lead, mentor, and develop a small team of 2 payroll professionals, ensuring they are equipped to handle day-to-day operations and challenges.
Employee Communication:
- Address employee queries related to payroll, ensuring prompt resolution of issues regarding pay slips, reimbursements, deductions, and compliance queries.
Requirements:
- Graduate / MBA or equivalent in HR, Finance, or a related field.
- 8-12 years of experience in payroll management, preferably in a large organization.
- Strong understanding of payroll systems, statutory compliance, and labor laws (specifically for both permanent and contractual employees).
- Proficiency in MS Office, payroll software, and HRMS systems.
- Excellent vendor management skills, with a proven ability to manage outsourced payroll services.
- Strong problem-solving skills and attention to detail.
- Ability to work under pressure, particularly during payroll cycles and audits
