Job Description

Vendor and AMC Contract Management:


  • Maintain and renew all AMC (Annual Maintenance Contracts) contracts, ensuring timely coordination with listed vendors.
  • Negotiate with vendors in case of any rate increases and seek the best possible terms.
  • Interact regularly with vendors to address performance issues and conduct periodic performance analysis.
  • Explore and identify potential vendors for replacement, if needed.
  • Follow up with vendors for timely submission of invoices and ensure timely submission to the finance department for payment processing.

Vendor Coordination on Facilities & Maintenance:


  • Coordinate with vendors for services related to plumbing, carpentry, electrical work, access control systems, fire alarm systems, fire extinguishers, and AV equipment issues.
  • Ensure that all vendor-related work is completed in a timely and efficient manner.

Report Management:

  • Prepare and maintain a monthly budget tracker to monitor expenses and ensure budget compliance.
  • Keep accurate records of employee movements, including transfers, exits, and new hires.
  • Maintain attendance sheets for contractual staff.
  • Manage monthly orders for housekeeping consumables and materials.
  • Maintain weekly, monthly and annually tracker to monitor key operational metrics.
  • Schedule employee health checkups as requested and ensure the timely follow-up on billing/payment status.

Cafeteria and Employee Welfare Management:


  • Monitor cafe menu to ensure quality and variety.
  • Ensure the cafeteria is regularly maintained, cleaned, and well-stocked.
  • Record and address employee feedback, issues, and complaints related to food on a daily basis.
  • Coordinate special meals for festivals and special events, including Navratri, Diwali, Holi, New Year, and other office celebrations.

Office Management and Other Administrative work:

  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
  • Complete Office cleanliness, including Booking Board room, meeting rooms & Cafeteria.
  • Supervising and handling Housekeeping, pantry team and security.
  • Process new joiners Business and access cards and ID Cards and maintain their access form file/details.
