Summary of the role
The Executive Administration will be responsible for overseeing daily admin operations at site, managing cafeteria, stationary, pantry, seat, parking management etc Will ensure compliance with policy and agreed SOPs focus on cost- effectiveness.
Minimum Education: Graduate
Experience: Minimum 4 years
 
Role and Its Responsibilities
Mandatory Requirements:
1-Manage day to day activities of soft tech services required at site.
2-Daily food tasting, preparing records and share feedback with suppliers.
3-Manage cafeteria, tuck-shop, pantry, coffee/tea machines, water dispensers/RO machines.
4-Manage/supervise monthly PPM of equipment.
5-Prepare and maintain records of food consumption, wastage, stationery etc
6-Ensure indent for ordering should be placed on time as per the trend/requirements.
7-Organize monthly meetings with suppliers and maintain MOM for the same.
8-Pro-actively analyze ground operations and share the necessary feedback to concerned employees and his/her respective TM.
9-Supervise vendor s ground team and coordinate to identify if there is any issue service delivery arrangement.
10-Share the feedback within the team if any need to make any changes.
11-Handling all concerns (verbal, walk-in, feedback or email) during the shift and providing the resolution on priority and update the same in grievance tracker.
 
Additional Requirements:
1-Raise feedback against vendor s failure through email.
2-Maintain and publish all reports related to admin operations as per required format and frequency.
3-Ensuring pro-active communication to stakeholders in case of any immediate issue.
4-Ensure daily briefing of the ground staff to be done and key points to be discussed in the same.
5-MIS and invoice management with end-to-end billing.
6-Managing contracts addendums.
