A. Job Objective-
To assist internal customers for hotel, travel, communication, office equipment, repairs & maintenance.
B. Primary responsibilities-
Strategic and planning
Functional
Core
1. Preparing admin budget, monitoring, managing and reviewing Budgets to ensure Adherence
2. Lesioning with Local & Regulatory authority for smooth functioning of operations / business
3. Effective functioning of Employee Transport, on call transport arrangement, company vehicles
4. Control and monitoring of security function, adherence to guard board guideline, CCTV monitoring, addition of cameras, recording & reporting incidents to Head HR on regular basis
5. Ensuring & monitoring proper housekeeping of plant, open premises, structure, Washrooms.
6. Responsible for garden maintenance and development in consultation with top management & consultants.
7. Looking after communication i.e. voice call, data card, lease line. Tracking of plans & upgradation/optimisation as and when needed
8. Ensuring timely payment of Govt dues like Property Tax, Grampanchyat Tax & any other levies
9. Timely maintenance of furniture, office equipment, building structure, telephone, EPABX, company vehicles etc.
10. Contract labour management Attendance, replacement, maintaining break data, bill verification, statutory compliance, timely payment to vendors and ensuring it has been disbursed to their employees deployed at ACG.
11. Renewal of factory license, contract labour registration, FSCCI, Security guard board exemption, NOCs from local authorities for various work
12. Changes/modification in present building structure wrt washrooms, trenches, restrooms, canteen, offices & its maintenance
13. Processing, verification of bills for various vendors & contractors
14. Raising PR, PO, bill booking, admin vendor creation
15. Arranging office stationery for all the functions.
16. Looking after PA System
17. Support in various employee engagement activities, communication, distribution of various welfare gifts etc.
18. Support in 6S activities, visual management, displaying boards
19. Publishing various communication to associates regarding admin activities
20. Providing related data for various internal & external audits to ensure zero NCs
21. Support business to meet business objectives and Strategic goals
22. Administration and smooth functioning of Guesthouse facility
Internal process
1. Submission of HR & Admin budget data to ACGE COE
2. GMI tracker monthly submission
3. Submitting MIS on CA cost, Welfare Cost
4. Submit proposal for budgeted CAPEX & major Repairs & Maintenance to seek approvals
5. Carryout period meeting of canteen, transport, admin function and work up on gaps & suggestions
6. Conduct periodic survey on admin work
7. Raising PR, PO, WO, PO, Payment advises, work item in SAP for various admin activities.
People development
Training housekeeping, pantry, drivers & Security personnel for their respective work and building competencies for better service result.
Guide & coach Front Desk executive & admin assistance on day-to-day work
