What would you do?
The ideal candidate will be responsible for managing the end-to-end process of import purchase orders, ensuring timely procurement of goods from international suppliers, handling import documentation, and facilitating smooth cross-border logistics. The Import PO Coordinator will work closely with various teams, including procurement, logistics, finance, and customs, to ensure the efficient movement of goods across international borders and into our domestic operations.You will be part of Supply Chain Planning Team which is responsible for end to end supply planning and executionIn Order Management, you will be working on administration of business processes related to orders for goods or services. You will also assess, design, build and implement best practices on process, organization, and technology from order creation to order fulfillment, financial settlement including order prioritization, purchase order receipt, invoice matching, inventory availability and promise, accuracy and fulfillment, provisioning of services and activation of billing.


What are we looking for?

Education:o Bachelor's degree in Supply Chain Management, Business Administration, Logistics, International Trade, or related field. Certification in Logistics or Import/Export (e.g., Customs Broker License, APICS CPIM) is a plus.

Experience:o 2+ years of experience in procurement, import/export operations, or supply chain management, with a focus on managing international purchase orders.o Knowledge of import/export regulations, customs procedures, and international shipping documentation.o Experience working with ERP or procurement software (e.g., SAP, Oracle, Microsoft Dynamics).

Skills:o Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines simultaneously.o Excellent communication and negotiation skills for working with international suppliers, logistics providers, and internal teams.o Strong attention to detail, ensuring the accuracy of purchase orders, invoices, and shipping documentation.o Proficiency in Microsoft Office, especially Excel, for managing data and generating reports.o Familiarity with customs compliance, tariffs, and international trade agreements.

Knowledge of Incoterms (International Commercial Terms) and how they impact shipping and payment responsibilities.

Experience with freight forwarding and international shipping logistics.

Ability to speak additional languages (e.g., Spanish, Mandarin) is a plus.

Roles and Responsibilities:

Import Purchase Order Management:o Create and manage import POs for international suppliers based on business requirements and inventory needso Ensure that all import POs are accurate, complete, and comply with company standards and international trade regulationso Work with suppliers to confirm order details, delivery schedules, and shipping methods

Supplier & Vendor Coordination:o Communicate regularly with international suppliers to confirm order details, negotiate pricing, and track shipmentso Monitor and follow up on outstanding import POs to ensure timely delivery and resolve any discrepancies or delays

Shipping & Logistics Coordination:o Coordinate the logistics of international shipments, including selecting shipping methods (air, sea, or land), tracking orders, and ensuring that products arrive on scheduleo Work closely with freight forwarders, shipping companies, and customs brokers to manage the movement of goods from overseas suppliers to domestic warehouses or distribution centers

Customs and Compliance:o Ensure that all import POs meet customs regulations and that the necessary import documentation (e.g., commercial invoice, packing list, bill of lading) is prepared and submitted accuratelyo Coordinate with customs brokers to clear goods through customs and resolve any import-related issues, such as tariffs, taxes, or compliance concerns

Inventory Management:o Monitor inventory levels to ensure that the appropriate quantity of goods is ordered based on demand forecasts and sales trendso Collaborate with the inventory and supply chain teams to ensure that imported goods are received and stored in accordance with company procedures

Reporting and Documentation:o Maintain accurate records of all import POs, including shipping details, invoices, customs paperwork, and payment documentationo Prepare and provide regular reports on the status of import orders, including delivery timelines, shipment delays, and inventory updates

Problem Resolution:o Proactively address any issues or discrepancies related to import POs, such as incorrect order quantities, shipment delays, damaged goods, or documentation errorso Work closely with suppliers, logistics partners, and internal stakeholders to resolve issues quickly and effectively

Cost Control:o Monitor and manage costs related to importing goods, including shipping, customs duties, taxes, and other import-related expenseso Identify opportunities to optimize shipping routes, reduce costs, and improve overall supply chain efficiency
