Job Title: Administration & Facility Manager

Work Location: Gurgaon, India. (H.Q) – 3rd ,4th & 5th Floor Sector 53, Veritas Tower, Gurgaon -122002.

Reports To: CFO

Job Type: Full-time (Permanent).

  • Workdays - Monday to Friday, 1st and 3rd Saturday.
  • Weekly Offs – All Sunday and 2nd, 4th and 5th Saturdays.
  • Working hours – IST 10 am to IST 7pm.

Job Summary:

We are seeking an experienced Administration Manager to oversee our company's daily support operations and implement the most efficient administrative procedures. You will lead a team of in-house and outsourced professionals, managing a wide range of administrative duties across various departments.

Key Responsibilities:

  • Plan and coordinate administrative procedures and systems, devising ways to streamline processes.
  • Manage end-to-end office spaces, including the head office, warehouse, and R&D centre, along with meeting daily employee needs.
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  • Manage schedules and deadlines effectively.
  • Monitor inventory of office supplies and purchase new materials while adhering to budgetary constraints.
  • Monitor costs and expenses to assist in budget preparation.
  • Oversee facilities services, maintenance activities, and tradespersons (e.g., electricians, HVAC, plumbing, etc.).
  • Organize and supervise other office activities (e.g., recycling, renovations, event planning).
  • Ensure operations adhere to company policies and regulations.
  • Stay abreast of all organizational changes and business developments.
  • Manage new office buildouts.
  • Handle employee travel arrangements, including hotel, air, and road transport.
  • Develop procedures to increase workplace efficiency.
  • Oversee administrative and clerical tasks.
  • Plan and manage office events such as Christmas and Diwali celebrations etc.
  • Manage Per employment medical checks New Joiner, ID card creation, seating allocation and other onboarding related activities.

Required Competencies:

  • In-depth understanding of office management procedures and departmental and legal policies.
  • Familiarity with financial and facilities management principles.
  • Proficiency in MS Office.
  • Analytical mind with strong problem-solving skills.
  • Excellent organizational and multitasking abilities.
  • Strong communication skills.
  • Self-motivated and flexible.

The essential requirements of the role include:

  • BA/B. Com/B.Sc. or a degree in Hospitality Management or related fields.
  • 12+ years of proven experience as an administration manager.
