Job Description

We are looking for a highly skilled and motivated Executive Assistant to provide comprehensive administrative and operational support to the Co-Founder of Sleep Company. This role requires someone with exceptional organizational abilities, strong communication skills, and the ability to handle confidential matters with professionalism. The ideal candidate will be proactive, adaptable, and capable of managing multiple tasks while supporting the Co-Founder in driving key business initiatives.


Key Responsibilities:

  • Calendar and Schedule Management:
    • Efficiently manage the Co-Founders calendar, ensuring optimal time management and prioritization of meetings and events.
    • Coordinate travel plans, including flights, hotels, transportation, and itineraries for business trips.
    • Prepare the Co-Founder for meetings, including gathering necessary documents, briefing materials, and agenda items.
  • Communication and Correspondence:
    • Act as the first point of contact for internal and external communications, managing email, phone calls, and messages.
    • Screen and prioritize incoming correspondence, responding or redirecting as necessary.
    • Draft and proofread high-quality communications, such as emails, reports, and presentations for the Co-Founder.
  • Meeting and Event Coordination:
    • Organize internal and external meetings, ensuring all logistics, documentation, and materials are ready.
    • Prepare meeting agendas, take detailed notes, and follow up on action items and deadlines.
    • Coordinate events or initiatives involving the Co-Founder, such as corporate meetings, product launches, or client engagements.
  • Project and Task Management:
    • Track progress on key projects and initiatives, supporting the Co-Founder in meeting deadlines and maintaining momentum.
    • Assist in coordinating cross-departmental efforts to ensure timely execution of projects.
    • Take the lead on smaller projects or initiatives that support the Co-Founder’s goals, ensuring they are completed effectively and on time.
  • Confidentiality and Discretion:
    • Handle sensitive and confidential information with the highest level of professionalism and discretion.
    • Support the Co-Founder with confidential business matters, including strategic decisions, financial data, and personnel-related tasks.
  • Office and Resource Management:
    • Manage and maintain office supplies and resources to ensure the Co-Founder’s office runs smoothly.
    • Assist with the organization of files, both digital and physical, ensuring easy access to key documents.
  • Personal Assistance:
    • Provide personal assistance as needed, including coordinating personal appointments or arrangements that support the Co-Founder’s schedule.
  • Other Administrative Support:
    • Perform additional administrative tasks as required, ensuring smooth operations within the Co-Founder’s office and across departments.

Qualifications:

  • Education:
    • A bachelor’s degree in Business Administration, Communications, or a related field is preferred.
  • Experience:
    • 3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar role, ideally supporting senior leadership or founders.
    • Experience in a fast-paced or startup environment is a plus, especially in the consumer goods, healthcare, or technology sectors.
  • Skills and Competencies:
    • Exceptional organizational and time-management skills, with the ability to manage multiple priorities effectively.
    • Strong communication skills, both written and verbal, with a high level of professionalism.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
    • Strong problem-solving abilities, with a proactive and solutions-focused mindset.
    • Ability to adapt to changing priorities and work under pressure in a dynamic environment.
  • Personal Attributes:
    • Discreet, trustworthy, and highly professional.
    • Strong interpersonal skills with the ability to build relationships across all levels of the organization.
    • Self-starter with a high degree of initiative and autonomy.
    • Positive attitude with a strong work ethic and a passion for supporting leadership in driving success.
