Job Title: Assistant Executive to Director
Location: Churchgate
Reports To: Director
-Job Overview-
The Assistant Executive to Director will provide high-level administrative support to the Director, ensuring smooth day-to-day operations, effective communication, and timely execution of tasks. This role involves managing the Directors calendar, preparing reports, coordinating meetings, handling confidential information, and assisting in decision-making processes.
-Key Responsibilities-
-Executive Support: Provide comprehensive administrative support to the Director, including managing calendars, scheduling meetings, and arranging travel.
-Communication: Serve as a point of contact between the Director and internal/external stakeholders, ensuring prompt responses to requests and inquiries.
-Assist : Purchase,Costing,Export only when required.
-Factory : Follow up with Ho/ Factory Team and get the work done before well within deadlines.
-Meeting Coordination: Organize and prepare for meetings, ensuring the Director has all necessary materials, agendas, and follow-up actions.
-Document Preparation: Draft and proofread reports, presentations, correspondence, and other documents for the Directors review.
-Project Assistance: Support the Director in overseeing various projects, including tracking progress, preparing reports, and coordinating resources.
-Confidentiality: Handle confidential and sensitive information with discretion and professionalism.
-Time Management: Prioritize and manage multiple tasks to ensure deadlines are met and tasks are completed efficiently.
-Event Management: Assist in organizing events, conferences, and presentations on behalf of the Director.
-Other Skills -
-Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with project management tools.
-Organization: Strong organizational skills, with the ability to manage multiple tasks simultaneously and meet deadlines.
-Problem-Solving: Ability to anticipate needs, identify challenges, and proactively suggest solutions.
-Strong interpersonal skills and ability to work collaboratively.
-Ability to work under pressure in a fast-paced environment.
-Flexibility and adaptability to changing priorities.
-Proactive, self-motivated, and able to work with minimal supervision.
Working Conditions
-Full-time position with standard office hours.
-Occasional overtime may be required to meet deadlines.
