Job Description

Role & responsibilities


Key Skills:

  1. Organizational Skills:
    • Ability to manage calendars, meetings, and travel itineraries efficiently.
    • Prioritization of tasks to meet deadlines in a fast-paced environment.
  2. Communication Skills:
    • Excellent verbal and written communication for interacting with internal and external stakeholders.
    • Professional email drafting and correspondence handling.
  3. Time Management:
    • Managing multiple tasks simultaneously without compromising quality.
    • Proactive in anticipating the MDs needs.
  4. Discretion and Confidentiality:
    • Handling sensitive information with the utmost confidentiality and professionalism.
  5. Technical Proficiency:
    • Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Knowledge of SAP preffered
    • Familiarity with scheduling software and virtual meeting platforms.
  6. Problem-Solving & Decision-Making:
    • Quick thinking and the ability to resolve issues independently.
  7. Adaptability:
    • Flexibility to handle unexpected tasks and changes in schedule.
  8. Interpersonal Skills:
    • Ability to build positive relationships with team members, clients, and stakeholders.
  9. Attention to Detail:
    • Ensuring accuracy in scheduling, communication, and document preparation.
  10. Project Management (Optional but valuable):
    • Coordinating small projects or events as required by the MD.

Job Responsibilities:

  1. Calendar & Schedule Management:
    • Organize and maintain the MDs calendar, appointments, and meetings.
    • Coordinate and confirm meeting times with internal teams and external stakeholders.
  2. Travel Coordination:
    • Plan and book domestic and international travel, accommodations, and transportation.
    • Prepare detailed itineraries and handle any travel-related issues.
  3. Meeting Preparation & Support:
    • Prepare meeting agendas, presentations, and reports.
    • Take meeting minutes and ensure timely follow-ups on action items.
  4. Communication & Correspondence:
    • Act as the first point of contact between the MD and internal/external parties.
    • Draft, review, and send out official communications.
  5. Document Management:
    • Organize and maintain files, records, and confidential documents.
    • Assist with preparing documents for board meetings or strategic discussions.
  6. Event & Project Coordination:
    • Help organize company events, board meetings, or off-site retreats.
    • Support the MD in managing specific projects and ensuring deadlines are met.
  7. Expense Management:
  8. Administrative Support:
    • Perform general administrative tasks like data entry, filing, and office coordination.
  9. Stakeholder Liaison:
    • Maintain professional relationships with clients, vendors, and senior management.
  10. Special Assignments:
    • Assist the MD with personal tasks or projects as required.


Preferred candidate profile


Any Candidate with above qualities, SAP Knowledge & Technical background of engineering preferred.

Candidate may require to travel within the country as required by the job.
