Job Description: Purchase Executive (Power Plant & Solar Plant)

Job Summary:

The Purchase Executive is responsible for managing the procurement process of materials and services for power plants, including solar plants. The role involves following up on material dispatches, processing vendor payments, developing relationships with new vendors, and ensuring timely procurement to support plant operations. This position requires technical knowledge in power plant processes, strong negotiation skills, and excellent communication capabilities to effectively liaise with vendors and internal teams.

Key Responsibilities:

1. Material Procurement & Follow-Up:
• Coordinate and manage the procurement of materials and services required for power plants and solar plants.
• Ensure the timely delivery of materials to meet the operational needs of the plant.
• Track and follow up on material dispatches and resolve any delivery-related issues.
2. Vendor Management:
• Develop and maintain strong relationships with existing vendors to ensure timely supply of materials.
• Identify, evaluate, and onboard new vendors to expand the supply chain.
• Negotiate contracts, pricing, and terms with vendors to obtain competitive pricing and favorable conditions.
3. Payment Processing:
• Process vendor payments in a timely and accurate manner.
• Maintain records of invoices and payments for reconciliation and auditing purposes.
4. Technical Knowledge & Material Expertise:
• Utilize technical knowledge of power plant operations and materials to make informed purchasing decisions.
• Understand the specifications and standards required for materials and services needed by power plants and solar plants.
5. Inventory Management:
• Collaborate with inventory management teams to ensure proper stock levels are maintained.
• Monitor material usage and forecast requirements to avoid shortages or overstock situations.
6. Documentation & Compliance:
• Maintain accurate records of procurement activities, including purchase orders, quotations, and contracts.
• Ensure compliance with company policies, legal requirements, and industry standards.
7. Communication & Coordination:
• Act as the point of contact between vendors and the internal team to ensure seamless communication and efficient procurement processes.
• Resolve any procurement-related issues or discrepancies in coordination with relevant departments.
8. Continuous Improvement:
• Monitor market trends, new materials, and supplier capabilities to ensure continuous improvement in procurement processes.
• Suggest improvements in purchasing strategies to optimize cost and efficiency.

Skills & Qualifications:

• Educational Qualification: Bachelor's degree in Engineering, Supply Chain Management, or related field.
• Experience: Minimum 2 years of experience in purchasing or procurement, ideally in power plant, solar plant, or related industries.
• Technical Knowledge: Strong understanding of power plant materials, equipment, and procurement processes.
• Computer Skills: Proficient in Microsoft Office (Excel, Word, Outlook) and procurement software.
• Negotiation Skills: Strong ability to negotiate with vendors to secure the best prices and terms.
• Communication Skills: Excellent verbal and written communication skills for liaising with internal teams and external vendors.
• Attention to Detail: Strong ability to ensure accuracy in documentation and procurement processes.
• Problem-Solving Ability: Ability to resolve issues effectively and proactively with vendors and internal teams.
