Purchase Executive

The Purchase Executive is responsible for managing all procurement activities related to HVAC materials required for project execution. This role demands a thorough understanding of HVAC components, vendor management, and advanced negotiation and analytical skills to ensure cost-effective and timely procurement of quality materials.

Key Responsibilities:

1. Procurement Management:

• Source, procure, and ensure the timely delivery of HVAC materials, including but not limited to ducts, pipes, compressors, air handling units, chillers, and related accessories.
• Prepare and process purchase orders in accordance with company policies and procedures.
• Maintain an updated database of suppliers, pricing, and material specifications.

2. Vendor Management:

• Build and maintain strong relationships with vendors and suppliers.
• Identify and onboard new suppliers to enhance sourcing options and competitiveness.
• Evaluate vendor performance based on quality, cost, delivery, and reliability.

3. Cost Optimization:

• Conduct price comparisons and prepare detailed cost analyses using advanced Excel tools.
• Negotiate contracts and payment terms to achieve the best value for the company.
• Monitor and control procurement budgets, ensuring alignment with project requirements.

4. Inventory Coordination:

• Coordinate with warehouse and project teams to maintain optimal stock levels.
• Track material usage and ensure adequate inventory to prevent project delays.
• Address any discrepancies in material quality or quantity with suppliers.

5. Reporting and Documentation:

• Prepare detailed procurement reports, including price comparison sheets, cost-saving metrics, and vendor evaluations.
• Maintain accurate records of purchases, contracts, and correspondence.
• Ensure compliance with all regulatory and company standards.

Qualifications and Skills:

Educational Qualifications:

• Bachelors degree in Supply Chain Management, Business Administration, or a related field.
• Certification in Procurement or Supply Chain Management (preferred).

Experience:

• 3-5 years of experience in procurement, preferably in the HVAC industry.

Skills:

• In-depth knowledge of HVAC materials and equipment used in project execution.
• Strong vendor network and market knowledge.
• Advanced Excel skills for data analysis, price comparison, and reporting.
• Excellent negotiation and communication skills.
• Ability to work under pressure and manage multiple priorities.
