Job Description

Procurement & Negotiation Skills


Job Summary:

The Purchase Executive is responsible for managing the procurement of goods and services required for banquet operations, ensuring cost-effectiveness, quality, and timely availability of supplies. The role involves vendor management, negotiation, inventory coordination, and compliance with procurement policies.

Key Responsibilities:

1. Procurement & Vendor Management

  • Source and procure food, beverages, décor materials, kitchen equipment, and other banquet-related supplies.
  • Identify, evaluate, and negotiate with suppliers for the best pricing and quality.
  • Maintain strong relationships with vendors and explore new suppliers for competitive pricing.
  • Obtain multiple quotations and finalize purchase decisions based on cost, quality, and delivery timelines.

2. Inventory & Cost Control

  • Coordinate with the store and banquet teams to ensure optimal stock levels.
  • Track and monitor inventory consumption to avoid wastage and over-purchasing.
  • Implement cost-saving initiatives without compromising on quality and service.
  • Ensure purchases are within the allocated budget and aligned with banquet event requirements.

3. Order & Documentation Management

  • Process purchase orders (POs) and ensure timely delivery of items.
  • Maintain proper records of purchases, vendor agreements, and invoices.
  • Work closely with the accounts department for payments and reconciliation.
  • Ensure all procurement activities comply with company policies and standards.

4. Quality Assurance & Compliance

  • Conduct regular quality checks on purchased goods.
  • Ensure compliance with food safety and hygiene regulations.
  • Address and resolve any supply chain issues, such as delays or defective goods.

5. Coordination with Internal Teams

  • Collaborate with the banquet operations team to understand event-specific requirements.
  • Work with the kitchen and service teams to ensure timely availability of ingredients and equipment.
  • Communicate with finance, HR, and senior management for budget approvals and procurement policies.

Qualifications & Skills:

  • Education: Graduate in Business Administration, Supply Chain, or a related field.
  • Experience: 2-5 years of experience in procurement, preferably in hospitality or banquet operations.
