JOB DESCRIPTION
INTERVIEW

  • Obtain manpower requisition from for all recruitments.
  • Call Candidates and enter the remarks in the prescribed format in computer.
  • Send call letters to suitable candidates.
  • Coordinate and arrange for interview.
  • Send the CVs of interview candidates along with interview guide to the interview assessment sheet.
  • Conduct interview and capture all information in the interview assessment sheet.
  • Issue offer letter for the shortlisted candidates with probable cutoff date for joining.
  • Generate and send regret letter / emails to rejected candidates.
  • Submit appropriate reports to the Functional Head on the number of resumes collected per position, shortlisted and finalized per position.

RESUME DATABASE

  • File resumes of walk-ins in appropriate folders with the department names.
  • File resumes with assessment sheets of rejected candidates separately.
  • Create separate folders in computer for all soft copies of resumes under appropriate headings.
  • Create separate folders for all joining documents received through mail.
  • Maintain applications data bank and ensure data bank has sufficient CVs for all positions.

JOINING & APPOINTMENT LETTER

  • Generate and appointment order on the date of joining.
  • Issue and collect duly filled joining report, PF nominations, Gratuity nominations, ESI Declarations, Group Medical Claim form, Persona data form from the employee.
  • Ensure all the employee code is generated and handed over to the employee as soon as he joins.
  • Ensure all the details of all employees are entered in the HR Soft as soon as he / she joins the Organization.
  • Register the employees finger impressions in biometric system for attendance.
  • Send note to administration in charge on requirement for visiting cards, stationeries, etc. eligible for new employees.
  • Co-ordinate with the employees in opening bank account for salary credits.

INDUCTION

  • Introduce new recruit to all the units.
  • Introduce / provide the list of new joiners to Academy for orientations.
  • UNIFORMS & ID CARDS
  • Ensure every employee is given uniforms as per the prescribed norms.
  • Ensure every employee is given ID Cards within one week of joining.
  • Issuing of tea token to employees from 1st to 5th of every month.

TIME OFFICE

  • Ensure all HODs assign duties to their subordinates on a daily basis.
  • Ensure all HODs approve leaves and permissions to their subordinates on a daily basis.
  • Identify habitual latecomers & early goers and take appropriate action as per the policy.
  • Identify long absentees and take appropriate action as per the policy.
  • Attend queries of employees which are related to Time Office.
  • PAYROLL & PAY SLIPS
  • Ensure all attendance is downloaded in HR soft on 25 th of every month.
  • Check for Discrepancies in attendance, salary and allowances while running the payroll and rectify the same.
  • Send salary statement to Accounts at least 24 hours before the salary date.
  • Issue pay slips to all employees within one week from the salary date.

PERSONAL FILES

  • Ensure every employee on the rolls of the company has got a personal file.
  • Ensure all the documentations is in place as per the check list.
  • Every file needs to be coded.
  • The Database of all employees is available and complete in all respects.
  • HR Soft to be maintained.
  • Maintain the documents as per the norms followed by the NABH / ISO standard.
  • BIRTHDAY & WEDDING ANNIVERSARY CARDS
  • Get the Birthday and the Wedding anniversary cards signed by the employee’s functional heads for a month.
  • Issue Birthday and Wedding anniversary cards to employees in front of their functional heads at the beginning of the day.

EXIT INTERVIEW

  • Ensure every employee who leaves completes the exit interview process.
  • Undertake a turnover analysis once every 6 months.

FULL & FINAL SETTLEMENTS

  • All resignations to be accepted after the HODs have signed on the Resignation Letter.
  • Resignation acceptance letter to be given after ascertaining the last day of the person who has resigned.
  • 3 days before the last day formats of the No dues and Exit interview to be given.
  • Facilitate the exit interview with either the Manager – HR or Head – HR.
  • Ascertain if the person is serving the notice period or is leaving in between.
  • Check if the notice period is to be waived off.
  • Ensure all the details are given to the Accounts on the last day of the person who is leaving.
  • Prepare and issue the relieving letter and service certificate to the employee.



MIS & OTHER REPORTS

  • Send data for HR MIS to the corporate HR in the prescribed format on or before 5th of every month.
  • Send all reports requested from Corporate HR on top priority.
  • Carryout data collection and support in data collections.
