Job Description

ROLES & RESPONSIBILITIES:

  • Sales Support and Coordination:
    • Coordinate Between Teams: Act as a bridge between the manufacturing team and customers to ensure smooth communication and timely supply of products.
    • Order Fulfillment: Ensure accurate order processing, track shipments, and address any delivery-related issues promptly.
    • Customer Queries: Serve as the primary point of contact for customer inquiries, addressing questions, concerns, and resolving issues efficiently.
  • Reporting and Documentation:
    • Issue Reporting: Record and report any customer-related issues, complaints, or feedback in the proper format.
    • MIS Reports: Prepare daily, weekly, and monthly Management Information System (MIS) reports. These reports should include sales performance, order status, inventory levels, and any deviations from targets.
    • Data Analysis: Analyze the MIS reports to identify trends, patterns, and areas for improvement. Collaborate with relevant teams to implement necessary course corrections.
  • Customer Satisfaction and Relationship Building:
    • Client Interaction: Be the primary point of contact for clients regarding supply-related inquiries.
    • Customer Service: Provide exceptional customer service by promptly addressing queries and ensuring customer satisfaction.
  • Cross-Functional Collaboration:
    • Internal Coordination: Collaborate with other departments (e.g., production, quality, procurement, logistics, marketing) to ensure seamless operations.
    • Training Support: Assist in training new sales team members and help team members improve their productivity.
  • Administrative Tasks:
    • Documentation: Maintain organised records of sales files, both in hard copy and digital formats.

PREFERRED CANDIDATE PROFILE:

  • Educational Background and Experience:
    • Bachelors Degree: A degree in Business Administration, Marketing, or a related field is preferred.
    • Experience: Prior experience in sales coordination, customer service, or a similar role is advantageous.
  • Skills and Competencies:
    • Communication Skills: Excellent verbal and written communication skills are essential for interacting with customers, sales teams, and internal departments.
    • Organizational Abilities: Strong organizational skills to manage orders, documentation, and reporting effectively.
    • Problem-Solving: Ability to address customer issues promptly and find solutions collaboratively.
    • Attention to Detail: Accuracy in order processing, data entry, and report preparation.
    • Proficiency in MS Office: Familiarity with Excel, Word, and PowerPoint for creating reports and presentations.
  • Interpersonal Skills:
    • Customer-Centric Approach: A friendly and customer-focused attitude to build strong relationships with clients.
    • Team Player: Willingness to collaborate with cross-functional teams and contribute to overall organizational success.
  • Adaptability and Multitasking:
    • Adaptability: Ability to handle changing priorities, urgent requests, and unexpected situations.
    • Multitasking: Juggle various tasks simultaneously, such as coordinating orders, addressing customer inquiries, and preparing reports.
