Job Description

Job Summary:

The Admin Executive plays a crucial role in ensuring the smooth and efficient operation of the office. They handle a variety of administrative, clerical, and support tasks to facilitate daily business operations. This position requires strong organizational skills, attention to detail, and the ability to multitask effectively.


Key Responsibilities:


1. Office Administration & Management:

  • Oversee daily administrative tasks to ensure smooth office operations.
  • Manage office supplies inventory and place orders as needed.
  • Maintain office equipment and arrange for necessary repairs.
  • Handle correspondence, including emails, phone calls, and letters.
  • Ensure proper record-keeping and documentation of important files.

2. Facility & Vendor Management:

  • Coordinate with vendors for office maintenance, repairs, and services.
  • Manage contracts and agreements with service providers (e.g., housekeeping, security, IT support).
  • Ensure the cleanliness, safety, and security of office premises.

3. Travel & Logistics Management:

  • Arrange travel bookings, accommodations, and transportation for employees.
  • Handle visa and passport processing as required.
  • Manage travel expense reimbursements.

4. Meeting & Event Coordination:

  • Schedule and organize meetings, conferences, and training sessions.
  • Prepare meeting agendas and record minutes.
  • Manage catering and other arrangements for corporate events.

5. Compliance & Documentation:

  • Ensure compliance with company policies and local regulations.
  • Maintain and update company records, licenses, and registrations.
  • Assist in audit preparations and data verification.

6. IT & Communication Support:

  • Coordinate with IT teams for system setups and troubleshooting.
  • Manage company assets such as laptops, mobile devices, and access cards.

7. Financial & Budgeting Support:

  • Assist in budget preparation for administrative expenses.
  • Process invoices, payments, and petty cash management.
  • Reconcile office expenses and generate reports.

Key Skills & Competencies:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Problem-solving and decision-making skills.
  • Knowledge of office management procedures and basic accounting.

Qualifications & Experience:

  • Bachelors degree in any field
  • 2-10 years of experience in an administrative or office management role.
  • Familiarity with office software and equipment.
  • Experience in handling vendors, contracts, and facility management is an advantage.
