Job Summary:
The Admin Head will be responsible for overseeing and managing the administrative operations of the organization. This role requires strategic planning, team management, and ensuring smooth execution of day-to-day operations while optimizing costs within the defined budget.
Key Responsibilities:
1.Administrative Operations:
oManage and oversee all administrative functions, including facility management, housekeeping, security, and office services.
oDevelop and implement effective administrative policies and procedures.
2.Vendor Management:
oLiaise with vendors for procurement of goods and services.
oEnsure cost-effective and timely delivery of services while maintaining quality standards.
3.Facility Management:
o
Oversee maintenance of office premises, equipment, and infrastructure.
o
Ensure compliance with health, safety, and environmental regulations.
4.
Budget Management:
o
Prepare and monitor the administrative budget.
o
Identify cost-saving opportunities without compromising operational efficiency.
5.
Team Leadership:
o
Lead and mentor the administrative team to ensure high performance.
o
Conduct regular training and development programs for staff.
6.
Compliance and Documentation:
o
Ensure adherence to statutory and organizational compliance requirements.
o
Maintain accurate records of office assets, contracts, and other administrative documentation.
7.
Crisis Management:
o
Act as the point of contact during emergencies, ensuring quick resolution of issues.
o
Develop and implement business continuity and disaster recovery plans.
8.
Stakeholder Management:
o
Collaborate with internal and external stakeholders to address administrative needs and challenges.
Key Skills and Competencies:
Strong leadership and organizational skills.
Excellent problem-solving and decision-making abilities.
Proficiency in vendor negotiations and contract management.
Knowledge of facility management and compliance regulations.
Ability to manage budgets and optimize costs.
Strong communication and interpersonal skills.
Qualifications:
Bachelors degree in Business Administration, Management, or a related field. (MBA preferred)
610 years of experience in administration, with at least 3 years in a leadership role.
Proficiency in MS Office and other administrative tools.
