Key Roles/Responsibilities:
Customer Contact: Customer Service Rep is the main contact person for the Customer regarding orders, inventory & shipments. CSR/Customer contact may be via phone, email, fax or EDI. CSR is responsible for responding in a timely & professional manner.
Order Entry: Receive orders via Email, Fax or Mail. Enter order into the appropriate system and confirm availability to customer. If not in stock, must get order scheduled and then confirm with customer. CSR will also handle cancellation of orders, confirm pricing to the customer and keep the customer abreast of changes in scheduling. Also responsible for processing any changes that may occur in shipping location, order quantity/date and materials ordered.
Stock Availability Review: When inquiries are received must be able to convey to the customer (if stock is available) or to the scheduler (if not available) in Order to secure production timing.
Shipment Management: Create BOL once inventory is ready for shipping. CSR must be aware of inventory status in order to make on time delivery. CSR is also responsible to convey method and terms of shipment to the logistics department.
Status Reports: Customer Service is responsible for compiling and or updating status reports for some KEY customers. Reports may include inventory at all stages of our process, customer code # and PO #, production run dates and quantities.
Complaint Management: CSR will enter the complaint in the system once the customer notifies of any non- conformance. The CSR will also enter a return order and return BOL if a decision has been made to return the ware. CSR will be provided this information by the Quality Service Representative.
Cold Calls: CSR also fields incoming calls from potential customers looking for stock products. If the call is for a larger volume of ware and/or custom designs, then CSR will refer the call to a Business Development Manager.
RFQ (request for quote): CSR will enter a request for quote in the event that the Business Development Manager is unavailable. This is the primary function of the marketing department.
Artwork: CSR may receive new or updated artwork from a customer. The CSR will complete the deco spec form and forward it to the decorating department. Once samples are, completed CSR will approve or request revised samples based on the customers response.
Inventor Production Status: CSR will monitor inventor levels and note the customer of ware as it becomes available. Also, monitor production dates to verify slippage in schedule.
Working Capital Management: Monitoring monthly outstanding and collectibles.
