Job Description
We are in search of a capable and detail-oriented Executive Assistant to provide essential support to the Director. The ideal candidate will be a proficient communicator with excellent email writing skills, possess advanced proficiency in Excel, and be willing and ready to handle travel arrangements. This role requires a highly organised individual who can manage diverse tasks effectively while maintaining a high level of professionalism.
Key Responsibilities: Administrative Excellence:
- Manage the director s calendar, scheduling appointments, meetings, and travel plans efficiently.
- Skillfully draft, edit, and proofread various documents, emails, and communications.
- Respond to emails and phone calls, directing inquiries to the appropriate parties with precision and tact.
- Maintain well-organised records, files, and databases, ensuring accessibility and accuracy.
Effective Communication:
- Craft clear, concise, and compelling emails, memos, and announcements on behalf of the director.
- Serve as a bridge between the director and internal/external stakeholders, ensuring seamless communication.
- Prioritise and handle incoming communications with professionalism and a customer-centric approach.
Advanced Excel Proficiency:
- Utilise advanced Excel skills to create, maintain, and analyse complex spreadsheets and reports.
- Compile and synthesise data to assist the director in making informed decisions and strategic planning.
- Generate insightful charts, graphs, and visual aids to facilitate data-driven discussions.
Travel Coordination:
- Arrange domestic and international travel arrangements, including flights, accommodations, and transportation.
- Prepare detailed itineraries and manage changes or adjustments as needed.
- Collaborate with travel agencies and other resources to ensure seamless travel experiences.
Confidentiality and Professionalism:
- Exercise the utmost discretion in handling sensitive and confidential information.
- Uphold a professional demeanor and represent the director and company with integrity.
