We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Director. The ideal candidate will be responsible for managing executive schedules, coordinating meetings, handling confidential information, and ensuring the efficient operation of the Director. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.
Calendar Management: Manage and coordinate the executive s calendar, including scheduling meetings, appointments, and travel arrangements. Ensure efficient use of time and prioritize conflicting demands.
Communication: Act as the primary point of contact between the executive and internal/external stakeholders. Draft, proofread, and manage correspondence, reports, and presentations.
Meeting Coordination: Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items. Ensure all logistical arrangements are in place.
Travel Arrangements: Coordinate complex travel itineraries, including flights, accommodations, and transportation. Prepare travel expense reports and ensure timely reimbursement.
Administrative Support: Perform a variety of administrative tasks, including managing files and records, handling confidential information, and maintaining office supplies.
Project Assistance: Support executive projects and initiatives by conducting research, preparing reports, and tracking progress. Assist with special projects as needed.
Education: Bachelor s degree in Business Administration, Communications, or a related field, or equivalent work experience.
Experience: 3-5 years of experience as an Executive Assistant or in a similar high-level administrative role. Experience supporting senior executives is preferred.
Skills: Proficiency in Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook) and other office software.
Open to travel.
Strong organizational and time-management skills with attention to detail.
Excellent written and verbal English communication skills Must Required.
Ability to handle sensitive and confidential information with discretion.
Strong problem-solving skills and the ability to work independently.
Flexibility and adaptability to manage changing priorities and demands.
Knowledge of office management systems and procedures.
Familiarity with virtual collaboration tools and platforms.
