Job Overview:
The RFP Manager will oversee the entire proposal development process, ensuring the timely
and accurate submission of high-quality responses to Requests for Proposals (RFPs) and other
solicitation documents. This role requires strategic planning, cross-functional coordination, and
excellent writing skills to craft compelling proposals that align with the companyâs business
objectives.
The ideal candidate will have a strong track record in operating the GeM Portal (Q2 categories,
preferably Interactive Panels), creating effective strategies, and driving business growth.
Key Responsibilities:
Pre-Bid Phase
Conduct market research and opportunity assessments to identify potential RFPs.
Collaborate with business development teams to determine bid/no-bid decisions.
Develop a strategy and work plan for proposal development.
Engage with stakeholders/ set up meetings to gather client requirements and
expectations.
Ensure compliance with regulatory and internal guidelines before bid submission.
Bid Phase
1. Project Tracking: Maintain a pipeline of active and upcoming RFPs, tracking progress
and deadlines to ensure timely submissions.
2. Post-Submission Analysis: Conduct post-submission evaluations and debriefs to
assess performance and improve future proposals.
3. Proposal Management: Lead and manage the end-to-end RFP response process,
including scheduling, content development, review, and final submission.
4. Collaboration: Work closely with all teams to gather and validate necessary information
for proposals.
5. Content Development: Draft, edit, and refine proposal responses to ensure clarity,
compliance, and alignment with client requirements.
6. Compliance & Quality Assurance: Ensure all proposals meet company standards,
regulatory guidelines, and customer-specific requirements.
7. Process Improvement: Develop and maintain standardized proposal templates, content
libraries, and best practices to enhance efficiency and effectiveness.
8. Tender Analysis: Reviewing tenders and performing accurate evaluation of bid
documents: technical specifications, bidder and OEM criteria.
9. End-to-end GeM portal management for OEM and Bidder: Product Catalogue
Upload, Q2 Authorization, Bid-Catalogue Pairing, Direct Purchase support.
10. Follow up with Channel Partner (Bidder) and Customer (Buyer) for tender updates and
closing deals.
Requirements:
1. Experience: A minimum of 5 years in RFP management, business development, or a
related field is required. Additionally, a minimum of 1 year of experience in operating a
GeM account for an OEM (specifically in the Interactive Panels - Q2 category) is
mandatory.
2. Education: A Bachelorâs degree in Business, Marketing, or a related field is required.
3. Skills: Candidates should possess strong attention to detail and analytical skills, along
with excellent writing, communication, and project management abilities. Proficiency in
tender documentation is essential, along with a high level of competency in MS Office
and Google Workspace (including Excel, Word, and PowerPoint).
4. Mandatory Skill Set: Experience in managing the GeM portal operation for OEMs in the
Q2 category is necessary.
