Job Description

Key Responsibilities:


1. Administrative Support:

  • Manage the Directors calendar, schedule meetings, and prioritize appointments.
  • Draft, proofread, and edit correspondence, reports, and other documents.
  • Organize and maintain files and documents, ensuring accessibility and confidentiality.
  • Prepare presentations and reports as needed for internal and external meetings.

2. Communication Management:

  • Handle incoming calls, emails, and other communications, responding or redirecting as appropriate.
  • Serve as a liaison between the Director and staff, clients, partners, and other stakeholders.
  • Communicate on behalf of the Director in a professional and timely manner.

3. Event and Meeting Coordination:

  • Organize and coordinate logistics for meetings, conferences, and business events.
  • Ensure all necessary materials, resources, and information are available for meetings.
  • Take notes during meetings and follow up on action items and deliverables.

4. Travel and Itinerary Planning:

  • Plan and book domestic and international travel arrangements, including flights, hotels, and transportation.
  • Create detailed itineraries and ensure all travel logistics are in place.

5. Task Management and Research:

  • Assist in managing the Directors workload, ensuring deadlines are met and priorities are addressed.
  • Conduct research and gather information for projects or presentations as directed by the Director.
  • Manage special projects as assigned, ensuring successful completion.

6. Confidentiality and Discretion:

  • Handle confidential information with discretion and professionalism.
  • Safeguard personal and corporate data and ensure compliance with privacy policies.

7. Personal Assistance:

  • Assist with personal errands and activities as requested by the Director, ensuring seamless integration between personal and professional tasks.
  • Support with household-related matters, if applicable, or coordinate with personal staff.

8. General Office Support:

  • Provide general office support, including ordering supplies, managing equipment, and other administrative duties.

Skills:

  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks and prioritize effectively.
  • Exceptional attention to detail and ability to maintain confidentiality.
  • Strong problem-solving skills and initiative.
  • Discretion and professionalism in dealing with sensitive matters.
  • Experience with travel coordination and event planning is a plus.

Working Conditions:

  • Full-time position; may require occasional overtime or weekend work depending on the Director's schedule.
  • Must be flexible and able to adjust to the Directors changing needs.

  • The Personal Assistant to the Director provides high-level administrative support, ensuring the Directors daily operations run smoothly and efficiently.
