Role & responsibilities
Calendar Management: Maintain and manage the COOs calendar, including scheduling
meetings, appointments, and travel arrangements.
Communication: Act as the primary point of contact between the COO and
internal/external stakeholders. Screen and prioritize phone calls, emails, and other
communications.
Meeting Coordination: Prepare agendas, attend meetings, and record minutes. Follow up
on action items to ensure timely completion.
Documentation: Draft, review, and edit reports, presentations, and other documents.
Ensure all documentation is accurate and professionally presented.
Project Management: Assist the COO with special projects, including research, data
analysis, and reporting. Coordinate cross-departmental initiatives as needed.
Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and logistics
for the COO.
Event Planning: Organize and manage company events, executive meetings, and other
functions as required.
Confidentiality: Handle sensitive and confidential information with discretion and
professionalism
Office Management: Oversee the operations of the executive office, including ordering
supplies, maintaining records, and ensuring the office environment is organized and
efficient.
Support to Executive Team: Provide administrative support to other executives as needed,
ensuring smooth communication and coordination within the executive team.
Preferred candidate profile
Exceptional organizational and time-management skills. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Ability to multitask and prioritize tasks in a fast-paced environment. High level of integrity and ability to maintain confidentiality. Strong problem-solving and decision-making abilities. Professional demeanor and strong interpersonal skills.
